Overview

The Serials Acquisitions, Monographs, Gifts and Exchange and Paying Units coordinated workflows and processing to spend the 2001/02 budget, $8,263,734.98, in a timely and efficient manner. The budget was down slightly from last year, $325,588.02 $8,589,323, because of state budget decreases and a midyear recall of $393,938.00. The budget remained stable enough for the libraries to continue purchasing monographs, particularly those received on approval, and back set microfilms.

In 1999, when the total budget was up slightly from the year before, the receipts for both serials and monographs went down. For serials receipts it is understandable because the serials budget was less so that new purchases were discouraged. Rather support of current serials titles and continuing electronic resource purchases took precedence over adding new monograph titles. In 1998 and 1999 all electronic resources were purchased out of the book money, separate fund codes for these formats was implemented until 2000. The decline in monograph receipts for 1999 occurred because monograph money was used to purchase the electronic resources so that serials money could be preserved to cover current title renewals. In 2000, the monograph budget suffered a 9% cut which is reflected in the slight decrease in receipts that year.

Serials Acquisitions Unit
Doug Kiker accepted the A&P position of Head of the Unit at the end of June and began working on July 16. Marie Kennedy, the Archivist on personal leave, returned to the unit in July. The unit received 131,432 serials pieces in all formats, 6.9% more than 2000/01 (122,936). The unit ordered and purchased 172 new subscriptions and canceled 151 serials titles. With this addition of 21 active serials titles, the total for purchased serials count comes to 16,491 (excludes 2,639 active gift and exchange titles). During the year, the unit received 613 standing order titles processed from Academic Book Center at the cost of $1,226.00. Under Doug's leadership the Unit made impressive progress in creating a more respectful and comfortable working environment. Claims for periodicals are under control and the HSS Periodicals Room Desk is receiving excellent coverage from the hours this Unit contributes.

Serials Cataloging Unit
The unit endured staff vacancies when two staff members resigned early in the year. Jessica York joined the staff in October 2001, filling the vacant LTA position; the Sr. LTA position remains vacant. These vacancies and additional training of staff had a significant effect on the overall productivity in the unit. Nonetheless, the unit added access to 644 electronic resources in LUIS increasing last year's count of 420. The unit cataloged new titles in the following formats: 1,272 monographs in series; 806 serials titles, 211 microfilms, 10 microfilm newspapers, 27 microfiche; 12 machine readable. The totals for cataloging new serials was down from last year and shows that the unit maintained a balance between the incoming material and the electronic resources, which required more cataloging to provide ready access. However, the unit again exceeded its commitment to CONSER for cataloging contributions, contributing 291 records (228 records were added in 2000/01).

Monographs Unit
The Monographs Unit received 83,368 pieces, 27% more than in 2000/01 (60,474). The unit placed 25,291 monograph firm orders (keyed orders and CORCE), -33% less than in 2000/01 (33,651). Out of the total firm order count for 2001/02l, 38.4% of the firm orders went through the CORCE process. Monograph firm orders decreased considerably in 2001/02, the keyed orders were down 48% (15,572) from 2000/01 (23,113) and CORCE processed orders were down -8% (9,719) from 2000/01 (10,538). The significant drop in monographs ordered during last fiscal year reflects the budget cut and the effect it always has on the number of monographs that can be purchased. Shelf ready material received from YBP costs $54,012.90 for the fiscal year, and included: 11,458 catalog records; 13,002 books.

The Monographs Unit purchased a total of 20,227 titles, from the area studies approvals and YBP approval plans, which was 25.8% more than in 2000/01 (16,077). The domestic approval plan with YBP showed an increase in approval books purchased this year, 9,257 up 27% compared to the 7,289 received in 2000/01. The increase in titles purchased through approval plans, particularly the African approval plan, contributes to the overall high receipt count for monographs during the fiscal year.

Gifts and Exchange Unit

The Smathers Library Bookstore grossed $5,329.81 for the year. In three years of operation the bookstore has now grossed $19,823.67. For promotion purposes, the bookstore staff are running ads in the Alligator at the beginning of each semester, periodically holding sales within the store, and frequently posting flyers across campus.

Several large gifts were received in late spring and early summer accounting for over 3,000 gift books brought to the G&E storage/staging areas in two months. With reduced storage and review shelves, as well as staging areas for handling gift materials, Library Facilities allowed the Unit to use the south area of room 419 as auxiliary storage for incoming gifts.

During the year, the G & E Unit received 956 serials and 6,587 monographs from gift donors, of which 756 serials and 2,034 monographs were selected for library collections. Of the selected items, the unit copy cataloged 1,638 new monographs titles and 175 serial titles. At the end of the fiscal year, the exchange program is receiving on an ongoing basis 1,064 serials or monograph series from 638 exchange partners and 1,601 serials titles as gifts, bringing the active serials titles total to 2,665.

Paying Unit
Patricia Vice was on medical leave from September 2001 through mid-March 2002; she retired after 33 years of service on March 14, 2002. Paying Unit Archivist position remained vacant through the end of the fiscal year. In spite of this vacancy the Unit successfully spent $8,263,735.00 set an all time dollar volume record by processing over $8.8 million disbursements for fiscal 2002. The unit processed an average of 647 invoices per month and a total of 8,482 for the fiscal year. The average batch count processed per month was 78 and a total of 982 batches completed for 2001/02. The unit managed the prepayment deposit accounts with success again this year for serials titles received from SwetsBlackwell in Oxford ($600,000) and New Jersey ($650,000), EBSCO ($40,000) and from Harrassowitz ($800,000).

Personnel

Trish Vice retired on March 14, 2002 from the Libraries and Paying Unit.

Linda Silba, Archivist in Gifts and Exchange, resigned in June 2002; Raimonda Margjoni accepted the position in July 2002.

Barry Lui, .5 FTE Sr. LTA in Gifts and Exchange, resigned in June 2002; the position remains vacant.

Marie Kennedy, the Archivist in the Serials Acquisitions Unit, returned from personal leave July 2001.

Doug Kiker accepted the Serials Acquisitions Unit Head position in June and began working in July 2001.

Jessica York accepted the position of LTA in the Serials Cataloging Unit, October 2001, a vacancy created by Sharon Holder's move to Central Bibliographic Services Section, August 2001.

Maria Fisher, Sr. LTA in Serials Cataloging, resigned in August 2001; the position remains vacant.

Maureen Knapp and Becky Nero-Wall resigned for the Monographs Unit in July 2001.

Michael Jay accepted the SrLTA position and replaced Becky Nero-Wall in September 2001.

Joe Smaha, Sr. LTA Monographs Unit, replaced Molly Knapp in September 2001; Smaha resigned in December 2001; Julia Allen filled this position in July 2002.
