Gift Statistics
- Gifts Received: 3,424 serials; 19,534 monos; 3,476 misc...
Total Gift material pieces received = 26,434
- Gifts added to collections: 672 serials; 7,781 monos; 2,737 misc.
Total Gift material pieces added to library collections = 11,190
Percentage of gift monographs added to library collections = 39.8%
- The Smathers Library Bookstore gross for FY 07/08: $8,328.90
- Online Book Sales = $9,576.60

Electronic Resources Unit
- Chris Poehlmann was hired as the Electronic Resources Librarian
- Serials Solutions was chosen as our Electronic Resources Managment Tool
Monographs
- Domestic vendor transition and accompanying revision of workflow: in concert with Cataloging, created technical profiles with OCLC & Blackwell, revised existing specifications with FCLA, in order to allow shelf-ready (physically processed books with full MARC records delivered) firm, approval, and standing orders for domestic materials from Blackwell. Also, adjusted existing ordering workflow to account for staffing changes due to library reorganization; said adjustments streamlined ordering process and automated some tasks (deduplication, provisional record creation).
- Claim/$0 encumbrance project: during the period of course reserve/exception-only ordering (Feb. 15-end of FY08), the Monographs Unit aggressively claimed all open orders. Those that had remained open past our standard autocancel date were canceled, and in claiming ALL open orders, we were able to represent orders and budgets in Aleph with previously unknown accuracy. This project was intended to allow selectors to evaluate their intended purchases and selectively edit as necessary, considering allocations for the new fiscal year.
Serials
- Standing Order project. - - - May 28 – June 20, 2008
+ This project was a component of a multi-step A & L project to organize, compile, and review all standing orders that are currently received in the department.
+ The goal of our project was to review & update series order records in Aleph.
+ We reviewed a total of 1,870 type O records.
# Orders, subscriptions and HOL were updated.
+ A total of 554 titles, or 29.6% order records were converted to type S. Subscriptions records were created for those.
- Coordinated efforts with SWETS and EBSCO representatives to update our subscriptions in their databases.
+ The goal was to update alpha numerical NOTIS fund codes with Aleph budget codes.
+ Supplied them a fund replacement list.
+ Updated manually in their databases subscriptions whose fund codes didn't match.
+ Results – more efficient invoice payment workflow.
+ (SWETS – completed March 31, 2008; EBSCO – in process).
- Object Code project - - - May 26 – July 3, 2008
+ The goal of this project was to make appropriate changes in the Quantity Notes field of the order record.
+ Our project was a component of a larger project to create a workflow that lets Aleph automatically insert Object Codes into invoices. The Aleph Service will automatically insert object codes into invoices when one is available in the Quantity Note field.
+ A total of 4,294 order records with order units
UFOR1 and UFOR2 were updated.
Paying
- Jack Waters and Kerstin Rao both completed Pro-3 Financial Certification in UF financial system.
- Jack Waters finished modifying the eRes tracker so that we can get an idea of eResource expenditure by subject area.
- Kerstin Rao worked closely with EBSCO to bring their billing records into agreement with our payment records.
Technical Support Unit
- Michael Jay built version 4 of the PCAT program which identifies series information in imported records. This new version includes a generic library.
- Jason Fleming created the UF version of the LibX toolbar and rolled it out in cooperation with Library 2.0 team members.
- Jason Fleming created a series of submission forms for ARL stats to be entered into.
- Jason Fleming worked in collaboration with Cataloging to create a file of our Local Holdings data for ingest by OCLC.
- Jason Fleming worked with Cataloging to create a simplified workflow for reclass projects.
