Minutes from April 24, 2002 Meeting

Announcements 

Cathy – update on the Binding Unit Head position – offer is being made today.

Rich – report on Serials Solutions – UF submits updates on the 20th of each even month.  The next update (from April 20th submission) will be received in early May.

Michele – continuing the project to gather electronic sources usage statistics in order to determine who is using the sources for which we are paying a lot.  FCLA has a model for compiling this kind of statistic, but Michele is dealing with information from many different vendors in many different formats, so mirroring the FCLA model may not be feasible.

 

Maintenance of Electronic Packages 

Pam – Background:  Many packages began as publisher offerings, so if one knew the publisher of a title, the title could be located by going to that publisher’s package. 

Current situation:  Aggregator packages like Science Direct and Synergy contain titles of various publishers at various times.  The coverage in these packages changes constantly, so how can we keep up with these changes and have it reflected in the online catalog?  Discussion followed and it was agreed that we need to see what is available from whom; that changes should be sent to a centralized location for processing (Serials Acquisitions holds the licenses); and that the key people to notify are Michele, Naomi, Rich, and Doug.  What’s available from whom:  1.  During ordering and establishment of access, each vendor should be asked to send publication changes to one person or one central mailbox that can be read by many.  2.  For vendors who do not provide this service, a person should be assigned to routinely check the vendor’s site and keep track of the updates from the site.  The group discussed how time consuming this process would be and will revisit this idea with more consideration.  3.  Vendors without either.  Between now and the next meeting, a list of packages and resources available from vendors will be compiled (with websites or newsletter information). 

 

Serials Solutions Update Report

Rich developed an electronic form to be completed by any staff member who works with E-Journal records – adding, deleting, or changing in some way in the UF Libraries’ Catalog.  The form should be completed and sent to Rich so the change can be included in the next bi-monthly update of UF’s Serials Solutions Database.  Primary serials catalogers are Naomi (Smathers), Jean (Legal Info. Center), and Cecilia (Health Sciences Center).  Pam asked if Serials Solutions is keeping up with the aggregator changes.  Rich said he did not know of any attempt to do this.

 

Harrassowitz Titles

Michele has received a report from Harrassowitz. The report is a list of the serials titles we purchase from Harrassowitz and the e-journal availability information for each title.  The list highlights 1. titles we could receive free online because we buy the print version (about 90) and 2. titles requiring an additional payment for online access.  There was discussion on what we should do with this list.  Michele and Doug will consult with Harrassowitz to see what assistance they will provide, especially regarding licensing agreements for access not requiring payment.  They will also determine which titles are received in other packages.  Then, Michele will consult with John Ingram about the possibility of sending the list with procedures to selectors (all or some) for consideration of the online versions of the titles for UF.

CONSER Meeting

Naomi asked that any additional feedback on her paper “Single Records for Online Versions of Print Serials” be sent to her by Monday afternoon.  She informed the group of other topics to be discussed at the meeting including the PURL (persistent URL) Project in which UF participated.

 

Next Meeting 

The next meeting of the Continuing Resources Policy Committee will be June 26*.  On the agenda will be a status report on the CD security case discussions with Lori (Cathy, LeiLani, and Michele).
