Minutes from August 28, 2002 Meeting

Present:  Rich Bennett, Jean Bostwick, Pam Cenzer, Robena Cornwell, Michele Crump, LeiLani Freund, Doug Kiker, Cathy Mook, Bob Singerman, Jan Swanbeck, and Naomi Young

 

CD Security Case Report and Discussion 

Cathy, LeiLani, Michele – CD-Rom serials from Library West reserves and from Paged are now out on the shelves in security cases.  There are still single items, e.g. supplements to volumes or individual volumes/issues that need attention. The purpose of the security case is to have the item on the shelf, be seen by patrons, remain safe, and circulate. 

There was discussion on the draft policy, “CD-ROM Serials, and Accompanying Material (Cataloging Procedures)”.  This policy applies to main and MSL and covers individual CD issues that will be checked in, labeled, placed in security cases, and shelved with the bound volumes.  Naomi will make changes to the draft and distribute to the committee for review.

 

LMS Migration

Rich – encouraged all to read the e-mail report and updates.  The committee is organizing and arranging training sessions.  To date, scheduled are February 12 – Staff navigating around the system and March 25&26 – Serials module.  The plan for Serials training arranged by FCLA is to train ten trainers - the A-Team members will be considered.  Jean suggested developing streaming video (Webcast) for later viewing of training sessions.

 

Electronic Resources Cancellations and Withdrawals

Michele reminded the group of the problems with some e-resources, specifically CDs, which had been canceled and withdrawn.  Licensing agreements must be followed regarding the disposition of withdrawn materials.  All agreements and correspondence is available online via the order record (may be instructed to go to a URL on bib. record).  Cancellations should be centralized through serials acquisitions.  A draft policy and procedures document will be presented to the A-Team and this group for discussion.  In the meantime, questions should be addressed to Doug.

 

CONSER

There was discussion on the document based on the paper Naomi wrote, “CONSER Proposal to Create a Single Record for Multiple Distributors on an Electronic Journal”.  Submit opinions of the two options to Naomi.

 

OTHER

Bob asked the status of cancellations.  There was discussion on the process.  About 200 titles were submitted for cancellation.  Remember that individual e-journals or database titles canceled need to be sent to Rich and Naomi for suppression.
