Continuing Resources Policy Meeting
Minutes from August 23rd, 2006 Meeting

Announcements

Pam: Marston Science Library is back to binding periodicals after having halted for a while. They were busy with moving materials such as microfilm to Library West.

Leilani: Library West is very busy with school starting today and the reopening having happened in the past week.

Doug: Acquisitions is currently canceling print Blackwell periodical subscriptions because the consortium is now splitting the cost of the Blackwell Synergy online package.

Jason: Ellen Bishop at FCLA is back from vacation and as a result they will be doing some object code testing for the EBSCO EDI loading into Aleph.

Ben: Most of the moves that were in progress are now finished (ALF to Library West, old Publix site to ALF, etc.) Former Publix site will no longer be occupied after
August 31.

Cathy: Item sorting corrections are continuing at Marston. 866 conversions in holdings continuing as well.

Budget news from Michele: HSCL is worse shape than us since they did not get the same funding “rescue” that we received. HSCL was only given $1,122,000 for electronic continuations. They need to find $350,000 to 400,000 in cancellations to offset. They looked at cutting mostly print cancellations – a project they just finished - and are projecting cuts to their e-resources in the next year.

We have a budget of $8,177,673 for 2006/2007 FY. This including everything (money from Provost & Division of Sponsored Research (DSR).
Electronic resources = $3,765,000
All continuations combined (print / electronic) = $6,400,000
Monographs = $1,489,000


Collection managers are being asked to have their cancellation requests in by August 31. Questions and requests should be sent to Doug Kiker.

Jack Waters is currently putting budgets for each fund into Aleph. Collection Managers should see their amounts soon if they don’t already.
Rich: Endeca Update – FCLA is working toward having a prototype ready soon (maybe by Oct. 1). This will be for the state consortium members to look at and react to. Meanwhile check out the NCSU site which it will be initially modeled on.

Rich: Metalib Update – Activity has been in trying to populate the subjects (databases by subjects). The beta version is available to the public under the name “Research Gateway”. It should be in beta through the Fall semester at least.

Rich: Verde Update – FCLA has developed a schedule to roll out Verde. September and October will be devoted to training and planning with Ex-Libris. There is a Nov. 1 goal for launching it. However, Verde is not a public product so the goal is aimed more at having the system populated by then.


Michele brought up the topic of role changes in Acquisitions and Licensing Department. Efforts have been and are continuing to move heavily toward electronic resources. She believes that the Continuing Resources Policy committee should do the same with a change in emphasis to highlight electronic resources. Areas of particular interest will be:

• Archiving
• Digitizing
• State / consortium agreements in the works
• To improve communications between Smathers, the Branches, Law, and Health, as well as UF and SUL consortia, regarding package deals and license agreements.
• To monitor electronic resources expenditures and the materials budgets.
• To review and incorporate usage statistics of the electronic resources.


Michele will be the UF representative on the consortium subcommittee for electronic resources. John Ingram will be involved, because of his involvement as the Director of UF Collections and his current position as the Chair of the State Collection Planning Committee.


Cathy mentioned her role in a forthcoming statewide archiving group. She will report on their activities and progress at future meetings. This group has been charged (view charge here) as a committee to review and report on the issue of archiving electronic journals, an important issue for collections without corresponding print serials.


Naomi mentioned a forthcoming group of CAGER (Cataloging and Access Guidelines for Electronic Resources) / DIDAC (Digital Data Acquisition and Control) that will be meeting to discuss various aspects of cataloging and digitization involving electronic resources.

Michele would like to bring in some new members to the committee:
1. Sara Russell Gonzalez
2. Haiyun Cao
3. Peter McKay

This is to bring in newer perspective, expertise, and input to the group. With additions and changes a revised charge and name may result. We will discuss further in the coming months’ meetings.

Rich: Mentioned that he anticipated that we will need to keep our Serials Solutions and SFX “mix” for another year at least. Verde and Aleph version 18 will affect decisions in the next year. Maintaining two knowledgebases for both Serials Solutions and SFX together is burdensome and we should look other options, strategies, products, etc. to accomplish the same goals.

The next meeting will be held on Wednesday Oct. 25th at 2:00 PM in the Library East conference room
