Minutes from June 05, 2005 Meeting
Library East Conference Room, 2:00pm
Present: Rich Bennett; Pam Cenzer; Robena Cornwell; Michele Crump; Jason Fleming; Leilani Freund; Martha Hruska; Doug Kiker; Margeaux Johnson; Cathy Mook; Heather Runyon; Jan Swanbeck; Ben Walker; Naomi Young
Announcements: Doug Kiker announced that the EBSCO EDI invoice for the annual renewals was successfully loaded and serials budgets show a significant drop. In addition, Harrasowitz and Swets Oxford renewal invoices should be processed by EDI during the same time. This process will be completed in early Nov. in the coming fiscal year.
Naomi described her conference experience at NASIG. She might present what she learned more formally in the future. She saw a talk that explained FRBR in human terms, and another one on privacy.
Naomi announced that 253 holdings have been transferred in the reclass project so far, and that we appear to be in fine shape to make our target date of completion.
Serials Solutions: Doug, Michele, Rich, and Jason have seen the webinar for the Serials Solutions ERM product. Doug saw a variety of vendors pitch their ERM products at NASIG. Rich has trained a group of people since our last meeting to use the Serials Solutions Managements software. For this meeting Rich gave a demonstration of the product and supplied handouts that outlined serials solutions processing.
The demonstration showed the management side of Serial Solutions. This is where creation and maintenance of subscriptions occurs. New MARC records to be added to our catalog will now have the date ranges available. The MARC records we are getting will direct the user to a corresponding entry in the Serials Solutions list. Managers of the subscription can go in and select the database and tag individual journal titles to change the subscription dates as needed.
Rich also demonstrated the of statistics that can be retrieved from Serials Solutions. The statistics will allow us to determine what resources are used.
Claiming: The Main Serials Unit, Music,Education, and Science are all claiming but at different levels. The ATeam will continue to monitor claiming activity and provide training when necessary. When creating a Claiming report, staff should use the Report client, so as not to take away from Production resources.
Dim Archive: UF will continue to process Kluwer print material for a dim archive for another year. The Kluwer dim archive material is not available to patrons. FSU has stopped retaining copies of Wiley print material for a dim archive. It is currently unknown whether Elsevier material will be collected in a print dim archive.
Migration Issues: Naomi announced that she has a 20 page printout of item records for the "New Yorker". All the issues are out of sequence, and she questioned when will this item problem be fixed? Her OPS workers have been working hard on altering holdings records. Should those hours be diverted to working on item clean up? What does Public Services have to say about this?
Rich offerred a temporary fix which is to use the FIND command in the user's browser. Further analysis will need to be made to determine whether fixing the data in the item records is a priority. Naomi suggested for comparison that it took her 6 hours to clean up the title "Popular Science.' Rich suggested that the key to the project is to find out if it is an institutional priority.
Next meeting: July 21, 2:00-3:30, in Library East Conference Room
