Continuing Resources Policy Meeting
Minutes from March 23, 2005 Meeting

Announcements: Doug Kiker announced that the EBSCO EDI invoice for the annual renewals is still being tested. He expects the final load to be completed by early April. Michele said that collection managers and selectors should see a drop in their serials budgets after the EBSCO invoice is run in Aleph.

Rich announced that the Resource Navigation Task Force is preparing for ExLibris’ MetaLib Version 3 by loading around 40 databases to facilitate testing. By early summer, UF should have most of its databases available and in the fall MetaLib should be ready for presentation to patrons.

Serials Solutions: MARC records for UF’s serials collections from Serials Solutions should be loaded by mid-April. Some serials maintenance will need to be done and submitted to Serials Solution before record loading takes place. After the initial load, MARC records will then be updated once a month through additional loads from Serials Solutions.

Michele, Cecilia, and Rich attended a demonstration of TDNet at FCLA. The service is similar to Serials Solutions electronic journals management system. TDNet offers Federated searching and is able to analyze search results, as well as, parsing facility that allows searching strategy that eliminates specific locations from the results. UF will continue to monitor developments in this area.

Record Maintenance: Jimmie shared with the group, guidelines for cataloging the electronic version of databases drafted by Jorge Gonzalez. CatMet plans to convert the 856 links to 599 fields on the print version (non-database version) of the bibliographic record once the database title is cataloged. This practice will comply with the recommendation from CRPC -- UF will create separate bibliographic records for electronic journals and on the paper version of the title convert the 856 links to 599 fields once the electronic version is cataloged.

Michele will talk with Cecilia and Naomi before drafting a proposal explaining the electronic version separate record concept. Michele will distribute this draft to the group for comments before the April 27 meeting. Plans will be made to present this proposal and the OPAC “Online” button concept as an “Electronic Resources in the OPAC” for discussion at PSC sometime in the near future (May?).

Reclass project status report: Cathy reported that the Dewey-currently received periodicals project is making good progress. She explained the reclassification guidelines and discussed how the splitting of holdings and locations of these titles will appear in Aleph OPAC. In general, Dewey-currently received periodical volumes from 1980 to date will be reclassed and relabeled before the volumes are returned to Library West. Volumes dated before 1980 will remain in storage and retain the Dewey call number. There will be some exceptions to these guidelines – only the latest five years of Jstor titles in paper will be retain in storage and selectors have identified titles for complete reclassification so that the full run might return to Library West. Some discussion and training should take place before the renovated library opens so that staff is made aware of the location and holdings changes in Aleph display.
