Minutes from September 24, 2003 Meeting

Announcements: SFX "Special Effects" is up and running. There will probably be a need for some training for patrons and staff as SFX might further complicate searching because it creates too many options. So far the SUS Catalog has been excluded from searches. We need to establish a list of all the journals we receive online access to via the publisher packages we acquire, and ascertain the coverage dates for each. With this information, we will be able to further enhance SFX for greater user accessibility. The question is "Who will be responsible for the creation and continual updating of this list?"
Aleph Update: Subset 4 review is complete, FCLA will work on the problems we have found. The Full Test load should start on October 1st. Three weeks after that, it will be available for review, and we will have until December to look over it. But, the sooner we discover problems the better, because FCLA will have more time to create further subsets for our review before ALEPH comes online. There will be a need to distinguish between Data Migration problems as opposed to Configuration Issues. Migration problems need to be identified as soon as possible before the final load is put through.
FCLA is working on the prototype of the Web OPAC. This will be presented by the 1st week of November. The Web OPAC will look the same for all state institutions, but the header and colors of the page will all be customizable.
Kluwer/Wiley cancellation : A decision to convert two large journal publisher packages (Kluwer and Wiley) to "electronic-only" has recently been made by the State University Libraries Consortia. If an individual selector truly wants to retain a title in paper format from either publisher, they will need to resubmit a form to acquire the title in question. http://www.uflib.ufl.edu/toolbox/rs/cmnewcontin.html Monies saved from this cancellation will be directed into the Electronic Resources Continuation Fund (ECER03A or ECER00) by Charlotte Barnes,and a student. The cancellation will go into effect at the end of the current paid volume. At the point of cancellation, the funds will be transferred. There is a concern that reports will be more difficult to generate if everything is coming out of the one fund instead of being broken up by different subject areas.
There is also a concern that when patrons find the catalog announcement "subscription cancelled" that they may end their search, thinking the library no longer has accessible holdings. Robert Singerman suggested that a universal message "see electronic" be adopted. Right now we enter the code "sc" which produces the universal message "Subscription Cancelled". Michele suggested taking the sc out until the subscription actually ceases. Rich Bennett suggested that a new code replace sc. The new code will instead say "subscription cancelled see electronic" or similar wording. This suggestion will only work as long as we have NOTIS. It was suggested that we send this idea to Public Services for their approval.
We will receive all the Kluwer print titles directly from Kluwer and maintain them in storage as the state Dim Archive. This will mean receiving approximately 647 titles when before we were only getting about 290. (*FSU will be responsible for the state Dim Archive of the Wiley titles) A lot of issues are still unclear, but we do know that these titles will not be accessible for check out.
Electronic Fund: <handout>
The CM Managers have decided to consolidate electronic resource purchasing by funding the new items and renewed titles out of fund ECER03A/ECER00. see procedures e-resourceCurrent Periodicals Relocation: Jan, Leilani, and Pam are on the Transition Team for the move out of Library West. They report that the current periodicals will be in library east in the current reading corridor outside of systems/preservation. The reference desk will be located in the lobby, and security gates will be installed on either side of the hall. Reference staff will answer questions about current periodicals.
US and foreign mail will be delivered to MSL, and Library West and East mail will be trucked over to Library East, sorted and then picked up by the appropriate staff for receiving.
Title Changes: When a title looks different from its cataloged title send it to SerCat. The issue, however, is not necessarily whether the title changed or not, but whether that change is minor or major. If the subject heading will change then that is a major change.

If the change was minor then the binding will be done under the same entry. Binding looks in the Marc tag 245 subfield A to determine whether or not a piece should be bound the same way it has been in the past. A different call # is assigned if the subject has changed or if the numbering starts over again.
