Minutes from September 25, 2002 Meeting

Announcements
Positions
– Naomi announced the approval to post the LTA serials cataloging position in
the Serials Cataloging Unit.
Doug
announced two positions have been posted – Archivist in the Serials
Acquisitions Unit and one in the Paying Unit.
Michele
announced that different groups have begun reviewing marked and tagged records
from a database of about 75,000 records.
This first review is specifically for bibliographic aspects – holdings
and item records. At the end of October
another review will be made including other aspects – acquisitions, patron
records, and authorities. The current
review is going well and problems are being grouped and forwarded to Rich who
sends them to FCLA.
GUI
is the name for the technical side and OPAC is the public.
Michele
reported that 165 titles for cancellation were submitted and completed. There are still 10 titles awaiting vendor
confirmation, but the cancellations have been processed (SC on holdings record
= subscription cancelled).
There
was discussion on the process of future cancellations – should titles be posted
to the web, allowing a public record and history of submitted titles and an
opportunity for another selector to pick up a proposed title? Michele suggested the posting of a
spreadsheet on the acquisitions website with the price of the last payment,
current price, and the cost savings of canceling. The group agreed this would be a useful service.
The
questions were raised of what titles were cancelled this time and why a list
was not made available to all selectors.
Robena will ask John Ingram for the list of titles. Will cancellations be taken over by Shelley
Arlen as Acting Chair of Collection Management?
Pam
asked what we should do with issues that keep coming after a title has been
cancelled. Michele responded that
issues do not need to be returned to the vendor.
Robena
asked if unsolicited title “subscriptions” could be cancelled. Doug and Michele said that cancellation of
these is difficult, so unwanted issues should be discarded.
The
two draft procedures, “Withdrawals of E-Resources” and “Supplements,” were
discussed and approved. There are a few
minor changes to be made. If others are
found, please report them to Doug or Michele.
Electronic
sources – Naomi suggested E-Resources be changed to Licensed Resources.
Pam
asked how we should handle a free electronic title with a link that becomes a
“pay for” title, but the selector decides not to acquire so the title is no
longer received. Naomi answered to
notify the Serials Cataloging Unit, and they will determine if acquisitions
needs to be involved and will complete the process including adding the note to
the holdings record, “no longer available free” plus processors initials.
For
titles that are no longer part of a package, notify the Serials Cataloging
Unit, and they will investigate.
Supplements
– If a branch library decides to have a supplement cataloged, it must be sent
to the Serials Cataloging Unit.
The
two draft procedures are “live”.

Other
CD Security Cases – The project is proceeding, Reference is completed and Access Services is continuing. Cathy Mook will order more cases.
Statistics
on Electronic Sources – This needs to be discussed at some point. There are no ARL definitions. Where should information be kept, paper or
electronically (ALEPH?), so that it can be retrieved for statistics? Perhaps it should be outsourced?
Library
West Program Committee – Jan gave an update of the committee’s final
recommendation regarding the building plans and remote storage.
