De-Duping/Counting Electronic Serials

 

  1. Make sure the Data on Demand Report is Excel 2007 file.  Excel 2007 accepts bigger files and the de-duping function is easier than using the advanced filter function in Excel 2003.
  2. Sort the spreadsheet by “Provider” column as designated by SS.  Sorting by Provider should facilitate the identification of titles as purchased or not purchased.  An example of a non-purchased provided would those labled “Freely Accessible. . . “ The consortial purchases will be removed in a subsequent step.
  3. De-Dupe the file using the SSJ ID & SSJIB numbers; using Excel 2007’s “Remove Duplicates” function on the data ribbon. 
  4. Cut the non-purchased and paste them into a separate worksheet in the same workbook.
  5. The resulting file will contain a list of unique electronic titles with Purchased (including consortial) in one worksheet and Freely accessible in the other worksheet.
  6. Contact FCLA to determine consortial packages.  Using the administrative login for these packages, determine which UF pays for and which FCLA pays for.  Subtract the total number that FCLA pays for from the purchased total and add it to the freely accessible/non-purchased total.
  7. Go to the Serials Solutions Overlap analysis page and remove all databases from the list.
  8. Go to the FCLA website and get the list of FCLA funded databases: http://allegro.fcla.edu:8500/FCLAdb/stats/fcladbs.cfm
  9. Add these back to the Overlap analysis list.
  10. Run the overlap analysis report, subtract the total number of journals from the purchased list, and add them to the non-purchased/consortial list.
  11. This should give the user the information need for the ARL Serials Holdings reporting form.
