PAYING UNIT STATISTICAL HIGHLIGHTS

 

The charts that follow graphically depict the highs, the lows and the changing nature of the work of the Paying Unit over time.

The first section deals with graphic analysis of Paying Unit activity across fiscal years, starting with fiscal 1991 (year ended 6/30/91)

 and continuing through fiscal 2007, the most recent complete year.

 

The second section is a graphic analysis of fiscal 2007 Paying Unit activity compared to unit standards and averages.

 

The explanatory text refers to the chart below it.

SECTION 1 - FISCAL YEARS COMPARED

 

BATCH PROCESSING FREQUENCY

 

This chart indicates that Paying Unit processes anywhere from 60 to 120 batches of invoices per month. It also shows that Paying Unit processed

at least 80 invoice batches 157 out of 204 months, or 77% of the time.

 

 

 

 

 

 

 

 

 

MONTHLY INVOICE PROCESSING

 

This chart shows the Paying Unit can be expected to process between 600 and 800 invoices per month. It also shows that Paying Unit processed

at least 600 invoices 164 out of 204 months, or 80% of the time.

 

 

 

 

 

 

 

 

 

 

AVERAGE BATCH SIZE

 

This chart reveals the changing characteristics of the invoice batching process over time. Note invoice count per batch has increased 63% since fiscal 03/04.

Although this graph indicates a decline in batches processed per month since fiscal 04/05, that is due in large measure to processing larger individual batches than in the past.

AVERAGE INVOICE COUNT - ANNUAL COMPARISON

 

 

 

Since fiscal 1996 the trend has been negative (with notable exceptions in fiscal 01, 02, and 03 due to “one-time” additional allocations from the state) in spite of the increasing size

of the library materials budget. This is due largely to the cost effectiveness of investments in serials prepayments and consolidation of many titles into large “package deals”

with some of our vendors. Such arrangements typically are incentivized with discounts and/or reduced service charges.

 

 

 

 

 

 

 

 

THE BIG PROCESSINGING MONTHS

 

 

 

Here we see that Paying Unit processes the most invoices in January and May, and fewest in July and June.

 

 

THE BIG BATCH MONTHS

 

 

 

This chart tries to answer the question, "When do the largest batches occur, measured by average size?"

For the fiscal years 1991 through 2007, the Paying Unit processed the largest batches in the months of August, December and January.
