Serial Issues Arrival

  • Look for ISSN number on item to be checked-in. Also, check for previous system number or ISSN on address label or packaging. The ISSN number can usually be found either on the front or back cover of an item, or within the first few pages, or last few pages of a serial. This number is usually provided with the publication information and can be difficult to locate.
  • If the ISSN is found, use the search box near the top left corner of the Acquisitions/Serials window and perform a search:

  • If no ISSN is found, use Search tab /[F] Find tab 1 (Advanced Search) to search for the item using the title search option in the drop-down menu (WTI). When searching by title be sure to exclude common words from the beginning of a title such as The, El, La, Der, .ect.

  • After performing the search, click "show" to display the check-in records that are associated with that title. Usually there are multiple records and a dialogue box will appear asking you if you would like to see these records.

Click Yes to see this list.

  • A list of records will display, from which you will need to find the appropriate record for the title and the branch that you wish to arrive (See list of arrival locations). In most cases you will be looking for a record that has the location Library West: Current Periodicals .

  • Notice that the forth line from the top in this example has a location of Library West: Current Periodicals. Click on this line to select the record and the window below will show the information associated with this record.

  • Click on the Serials button located at the bottom right corner of the lower pane in order to open this record in the check-in window of the Serials tab.
  • The check-in window has 2 tabs that allow you to view either All of the items (both arrived and not) or just the Expected/Not Arrived items. On the All view, items that are already arrived will have an arrival date in the Arrival column and will appear in black. Non-arrived items are in red.

In this example, we want to check-in v.101 no.1 and with the date of August 2007. After clicking on the item to select it, the item is ready to be arrived.

  • If Macro Express is enabled and a current version of the serials macro suite is activated, press F10 while the item you wish to check- in is highlighted. The macro will perform a series of procedures and the pause to ask if the date in ALPEH reflects the date on the serial. Follow the instructions of the macro and change the date if needed.

Once the item has been arrived, the next non-arrived item will be highlighted in the check-in window.

  • To check-in an item without the use of a macro, click on the "Arrive" button while the item is selected.

    • Verify that all of the item information is correct including the enumeration and chronology information as well as the description.
    • Click the arrive button in the lower window to arrive the item.
    • A dialogue window will open confirming that you have arrived the item.
