Storage Materials Reclass
Serials Acquisition Unit


These procedures pertain to standing orders (c/seps and analytics) and continuations (annual and irregular adds) with active orders, DEWEY or LC call number, and holding location STO or GEND relocated to Library West and Science only.

  1. Create new Holdings for item
    • Open item in the Cataloging module
    • Create a new HOL for either West or Science
    • Update the 852 field:
      • Add subfield a: FU
      • Add subfield b: UFSWE or UFSCI
      • Add subfield c: GEN
      • If an LC call number is present in the BIB (0 50 field):
        • Verify in OPAC that call number is not being used by another title in the same branch (the same call number can be used in different branches –Per Priscilla and Terri)
        • Use the call number for re-class and add to h and i subfields
      • If an LC call number is not present:
        • Check OCLC for an updated record with an LC call number
        • If found, overlay Bib and assign LC call number as above
        • If an updated OCLC record is not found, delete h and i subfields in the HOL
      • Add a non-public note x subfield as below

* For C/Seps, skip to step 5

  • For continuations, create an 853 X
  • For analytics and continuations create an 853 20 field
  • For analytics and continuations create an 863 field and update holdings
  • Record cataloging statistics for continuations (annual and irregular adds) using
    SerCatStats macro from the menu Alt+F2.
  • The SerCatStats macro will create a TKR field, “Reclcurrsodate” in the HOL to assist Priscilla and Terri with their reclass stats.

  • *Important. Record all cataloging statistics (including those for items that will need to go to Cataloging for reclass. Priscilla and Terri will count them for “re-class” purposes only. Serials Acquisition will count them for “volumes added to the collection” purposes.
  1. Update Storage Holdings
    • Update 852 field:
      • Remove linking field if present (853_X 8)
      • Add a non-public note x subfield as below

  1. Update order and subscription for annual adds
    • Verify order record type ( type O for standing orders and type S for serials) and update as needed.
    • In the Acquisitions/Serial module, click on the Subscription list to view the current subscription.
    • On tab four of the subscription list, link the subscription to the new holdings record that you just created. This should also unlink the subscription from the previous storage holdings.
    • Note changes in the library note under the general information tab of the order record: “Location change from storage starting with v._.”

    • Record acquisition statistics for c/seps and analytics using Serial Acq. Stats macro from the menu Alt+F2.
  1. Add new item for annual adds
    • Arrive the new item and make sure it is linked to the new holding record.
    • Barcode all items (including those that need to go to Cataloging for re-class)
    • If the item is being sent to Cataloging & Metadata for re-class, be sure to change the item process status to RC – Storage items sent to cataloging for reclass

    • Remove any non-arrived expected items that are linked to the storage holdings.
  1. If you complete the reclass yourself, finish processing as normal, and place on respective distribution shelves.
  2. Place materials to be reclassed on the “Storage Items for Reclass” shelf; accompany each item with a note indicating BIB Sys No. and West or Science HOL Sys No. (#275104 storage reclass, West HOL #4667770).
  3. Materials will go to Priscilla Williams/Terry Smith for reclass.
  4. If the item already has a LC call number, complete steps 1-5, finish processing as normal, and place on respective distribution shelves.
