The Gifts and Exchange Unit (G & E) of the Acquisitions and Licensing Department is a small but important component of the University of Florida George A. Smathers Libraries. Under the direction of three staff--a full-time librarian, a full-time archivist, a full-time senior library technical assistant and several student assistants, G & E oversees the gifts and exchange operations for a large research academic library system. The gifts program is responsible for accepting, distributing, and routing a large amount and variety of gift materials donated to the libraries. In FY 2001/02, G & E accepted and processed over 4,500 monographs and over 750 serials, from which over 2,000 monographs and 750 serials were cataloged and added to library collections. The remaining items were donated to other libraries, sent to the Smathers Library Bookstore for sale, or discarded altogether. The exchange program of the Smathers Libraries is one of the largest and most successful programs in the United States. It has been an ongoing program for over 50 years and over the past few years has grown from encompassing important agricultural research materials from the now defunct IFAS exchange program, and exhibition catalogues from a joint exchange collaboration with the University of Florida's Harn Museum. The UF Libraries receive an average of over 1,000 gift books per month. We also accept donations of current and scholarly journals which are used to replace missing issues in the collection The Exchange program, operating on a barter system of exchanging research publications with other libraries, institutions, academies, and museums, receives over 1,000 serial and monograph series publications from over 650 partner organizations around the world. The serial titles and monographs received from exchange partner organizations are often hard-to-find and significant publications that bolster collections in the libraries. The collections most benefited from the Smathers Libraries' exchange program are the Marston Science Library, who receive many vital publications from exchanges acquired using the Bulletin of the Florida Museum of Natural History, and the Latin American Collection, which receives publications on exchange from organizations in almost every country in Latin America.The Exchange Program establishes and maintains exchange arrangements with associations, institutions, museums, publishers, and universities worldwide. Exchange agreements are set up based on the need of the title, determined by the Subject Collection Manager, and by the cost-effectiveness of the exchange, determined by the Gifts & Exchange Librarian.
