"BOUND WITH" AND "PUBLISHED WITH" VOLUMES
I. Definition. There are two kinds of "bound with" publications:
(A) Separately published titles that were bound and issued together afterwards by the publisher
in a separate edition (PUBLISHER bound)
(B) Separately published titles that were privately bound together after publication by their owner
(PRIVATELY bound)
For volumes in category (A):
(1) Those issued by a publisher *with a collective title* (cf. AACR2 1.1B10) will be cataloged
on one bibliographic record according to normal cataloging procedures. "Bound with"
procedures described below will not apply.
(2) Those issued by a publisher *without collective title* (cf. AACR2 1.1G) will be cataloged on
separate bibliographic records. "Bound with" procedures described below will apply. (See II.
below).
For volumes in category (B), "Bound with" procedures described below will apply (See II. below).
II. Local Cataloging Procedure.
A. Publisher Bound without collective title, and Privately Bound. (NOT Rare Books.
(For Rare Books see B. below)
(1) search all titles in the volume in ALEPH
(a) create provisional records as needed. Download and overlay
these ALEPH provisionals with OCLC records where possible. If no
OCLC copy is found, proceed to step (c) below
(b) for titles which now have full records in LUIS, catalog them
according to CATPRO procedure "Shared Cataloging Procedure for
Monographs" and then proceed to step (2) below
(c) for remaining records, catalog these originally according to CATPRO
procedure "Original (FUG) Monograph Cataloging Guidelines" and then
proceed to step (2) below
(2) after the primary (occurring first in the volume) and then the secondary
record(s) have been cataloged, apply the following steps:
(a) on the bib records for the primary and each secondary title:
(1) add as the final 5XX note a 501 "With" note to indicate the other
"bound or published with" titles, in the form:
501 With: Title / Author. Place of publication : Publisher, Date.
NOTE: the 501 note on the bib record for the primary title will list all
of the other (secondary) titles occurring in the volume (but see (2)
below). For example:
three works are bound together following originally separate
publications of them:
first work in volume (primary title):
Jacob, H. Of the sister arts. New York : [s.n.], 1856.
second work in volume (secondary title):
Jacob, H. Sequel to Of the sister arts. New York : Brown,
1864.
third work in volume (secondary title):
Smith, J. On the works of H. Jacob. Boston : Jones, 1870.
On the ALEPH record for the first work:
501 With: Sequel to Of the sister arts / H. Jacob. New York :
Brown, 1864. On the works of H. Jacob / J. Smith.
Boston : Jones, 1870.
BUT: the 501 notes on the bib records for each of the secondary titles
will list only the primary title. For example:
On the ALEPH record for the second work:
501 With: Of the sister arts / H. Jacob. New York : [s.n.], 1856.
And on the ALEPH record for the third work:
501 With: Of the sister arts / H. Jacob. New York : [s.n.], 1856.
(b) on the holdings records for the primary and each secondary title:
(1) enter the same call number (the one assigned to the entire volume, based
on the primary title)
(2) for each *secondary* title, add in the subfield x note field on the holdings
record::
Bound with nnnnnnn [ALEPH record number for the primary title)
(c) bar coding. (For volumes destined for Rare Books and Special Collections,
see B (4) below)
(1) insert barcode in volume, according to usual barcoding practice
(2) create item record with this barcode for the *primary* title only
(3) on the item records for each secondary title, do not enter a barcode
number, but add in Internal Note field of each item record:
Use item record for [ALEPH no. of primary title]
(3) if there are more than 3 works bound or published together (for example, 10 short one-act
plays, originally published separately and now bound into a single volume), refer the volume
to your supervisor for a decision on whether to catalog the volume using a Collection Level
Record. (Refer volumes destined for Rare Books and Special Collections to the Rare Book
Cataloger).
B. Rare Books and Special Collections.
(1) catalog primary and secondary titles according to the steps in II. Local
Cataloging Procedure above
(2) apply the additional cataloging steps followed locally in the cataloging of
materials destined for Rare Books and Special Collections locations (addition of
special access fields for imprint, publishers and printers, 655 fields for genre
terms, and special notes or added entries at request of the Rare Books Curator)
(3) apply the processing steps covered in "Processing Rare Books with Reference
to Cataloging" (http://web.uflib.ufl.edu/spec/inhouse/process.htm) to the physical
volume
(4) finally, for barcoding apply these additional steps which will be unique to
materials destined for Rare Books and Special Collections locations:
(a) insert a barcoded acid-free strip into the physical volume at the beginning of
the volume
(b) follow the steps for item record creation for regular materials ((2)(c) above)
