                                                                                              Ray and Cary Cooper Science Collection

 

BACKGROUND

 

Dr. Raymond Cooper donated the Ray and Cary Cooper Science Collection to the George A. Smathers Libraries in 2006. The collection consists of more than 800 books, journals, and offprints on the topic of the history of science with special emphases on 19th and 20th century science (aeronautics, chemistry, physics, technology) and the development of the atomic bomb. Many Nobel laureates in the sciences are represented in this collection. Dr. Cooper selected these items as the critical first instances of publication of significant new ideas or discoveries in twentieth century science.

 

STAFF

 

Cataloging personnel from the Humanities & Special Collections Cataloging Unit (H&SCCU) and from the Science & Social Science Cataloging Unit (S&SSCU) will participate in the cataloging of this material, as directed by their unit heads.

 

CATALOGING

 

Due to their special nature, materials from the Cooper Collection receive specialized cataloging and processing. The following procedure indicates how full-level cataloging and processing is to be performed within the H&SCCU and the S&SSCU for items to be cataloged for the Cooper Collection.    

 

The application of this procedure involves interdepartmental cooperation and division of duties between staff in the H&SCCU and S&SSCU and in Special Collections. These staff members will perform all appropriate cataloging functions for these materials (which are housed in a secure area of Special Collections). Special Collections staff will see to the physical handling, movement, and physical pre-processing (insertion of bookplates and call number strips), upon movement out of arrearage until placement on the To-Be-Cataloged shelves.

 

I.  Pre-Processing (bookplating by Special Collections staff): to be performed as described above.

 

II. Cataloging (by H&SCCU and S&SSCU staff).

 

     Items are received from Special Collections (i.e. cataloging staff retrieve items from

     the To-Be-Cataloged shelves) with pre-processing already performed. If pre-

     processing has not already been performed, return items to Special Collections staff    

     with note that pre-processing needs to be done. Special Collections staff will then

     perform pre-processing and return items to the To-Be-Cataloged shelves in Rare

     Books area.

 

     When the cataloger begins to catalog an item for the Cooper Collection, whether copy

     exists for the item, or whether the cataloger will be needing to create an original

     record for it, one should always be attentive to the physical nature of the item (such

     as, it contains handwritten notes by the author or former owners, has special binding,

     or other unique characteristics). If it does have any of these or similar features, the

     cataloger should make note of these on the cataloging record. Cataloger should consult

     with the Rare Books Cataloger if uncertain about how to do this, or what information 

     to record.

 

     One database, PROLA, should be searched to see if an article exists online.  Search

     http://prola.aps.org/search for the URL for the article if it is in one of the American

     Physical Review (APS) journals. The journals are:

     A. Copy (DLC or shared or original) exists in ALEPH for item.

 

          1. sign on to ALEPH.

          2. call up record by ALEPH number or other appropriate search key.

          3. verify that record in ALEPH matches content of item to be cataloged.

          4. do normal cataloging routine for record, following procedures used for

              monographic adds. (See in ALEPHPRO "Monographic Copy Adds"

              [under "Adds"])

          5. update bibliographic and holdings screens in usual way.

          6. add special fields to bibliographic record:

 

              500         enter information that is unique to our copy, such as about

                             provenance, binding or donor.

 

              599         your initials

 

              500         From the Ray and Cary Cooper Science Collection, an ongoing

                             donation begun in 2006 by Dr. Raymond D. Cooper to the George A.

                             Smathers Libraries, and housed in the Libraries' Department of Area

                             Studies and Special Collections. The collection consists of books,

 B. Item is not in ALEPH, but is in OCLC.

 

      1.  Sign on to OCLC, search for record.

 

      2.  Verify that record in OCLC matches content of item to be cataloged. Update  

           holdings.

 

      3.  Do normal cataloging routine for record, following procedures used for regular

           DLC or shared copy materials. (See in ALEPHPRO "Copy Cataloging Procedure

           for Cataloging of Member Copy with Call Number" [under "Copy Cataloging 

           Procedures"] )

 

      4.  Update bibliographic and holdings screens in usual way.

 

      5.  Add special fields (see (A)(6) above). For your convenience most of these will be    

           supplied in a constant data record available in the online file, which you may edit

           (changing your initials for instance) and save to your local hard drive.

 

     6.  Create holdings and item records as described in (A)(7)-(A)(8) above.

    

     7.  Record title and volume count for item in statistics (run statistics macro).

 

 

C.  No record exists in OCLC for item (item is to be original cataloging).

 

     1.  Search title for copy in RLIN, Pre-56 Imprints, or other source (including online

          catalogs) appropriate for the particular title; if copy is found, use as basis for

          original record to be input into OCLC; otherwise, do fully original cataloging (see 

          2 below). For article analytics you will find a couple of examples in the online file.

 

     2.  Create in CONNEXION an original record for item.

 

     3.  Item should be reviewed at this point.

 

     4.  Make corrections once it is returned and add to OCLC.

 

     5.  Once the record is in OCLC, add the special fields described in (A)(6) above, as

          needed, to the record before uploading into ALEPH.

 

     6.  Create holdings and item records as described in (A)(7)-(A)(8) above.

 

     7.  Record title and volume count for item in statistics (run statistics macro).

 

 

III. Physical Processing.

 

   A.  Write call number on bookstrip.

 

   B.  Write call number on bookplate.

 

  C.  Add barcode to bookstrip. (Make item record, if not already made, per II (C) (6)

        above).

 

  D.  If item is Oversize (31-40 cm.) or Oversize Folio (greater than 40 cm.):

 

        1.  use bookstrip that is so marked (see Rare Books Cataloger for these bookstrips).

        2.  add Oversize or Oversize Folio to end of call number in ALEPH holdings record.

 

 

IV.  Printout to Accompany Item to Rare Books.

 

  A.  Display the bib screen for the item.

 

  B.  Verify that a 599 field with your initials is in the record.

 

  C.  Verify that there is only one call number field in the record, and that it contains the

        call number which you have assigned to the item.

 

  D.  Produce the printout as follows:

 

        1.  with the bib screen displayed, press CTRL-P (or open File menu and click on

             Print).

        2.  Please use "MARC tags" format in print format box that appears.

        3.  Click OK.

        4.  Click Print on the dialog box that opens up.

        5.  Retrieve printout from printer, fold, and place in back of book.

 

 

V.  Returning Cataloged Items to Special Collections.

 

      Upon completion of required cataloging steps in the H&SCCU and the S&SSCU,

      gather all cataloged items to be returned to Special Collections, take them there, and

      place them on top of the cabinet containing the To-Be-Cataloged shelves.

 

     When you do so, make sure that each item contains, in addition to the printout made

      in III. above, any other materials, such as sheets from bibliographies,

      autobiographical data sheets, etc., that came with the item when you obtained it for

      cataloging.
