DISTRIBUTION OF PROCESSED BOOKS by Monographs Unit
Time
About 6 minutes per box (about 20 boxes per shipment)
Preparation
Find the basket that contains the following items (on the shelf next to the entrance doors to the Acquisitions area):
- tape gun
- box cutters
- location stickers
- paperclips
- Marks-a-lot (large) marker
- Sharpie marker
- pencils
Checklist
- Pull boxes that contain unprocessed items
- Sort remaining boxes by location
- Check problem items
- Open boxes & remove packing paper, invoices, & books
- Check contents of box against working copy of invoice
- Check books for proper processing
- Place items on appropriate cart or repack for delivery
Procedure
- Pull boxes that contain unprocessed items and put on Monographs
mail table:
- Boxes from vendors other than YBP, Blackwell, or Harrassowitz
- YBP boxes with subaccount -15, -06, or -79
- Blackwell boxes with subaccount JUFG-X or JUFG
- Sort remaining boxes by location
- Check stack of problem emails (posted on wall next to processing area)
- Note location codes of problem items to be pulled;
- Keep an eye out for boxes with one of these location codes;
- When an item is found, put it on the “PROBLEMS” shelf on the wall next to Paul’s desk.
- Open box & remove the following:
- Packing paper: Recycle
- Packing list: Give to Kerstin for reuse
- Invoices:
- Remove & recycle feed strips
- Put original copy in Paying Unit's 'to be vendor coded' basket
- Set aside 2nd copy ('working copy') to check against contents of box
- Recycle other invoice copies
- Set aside Processing invoices for Business Office (Leave all copies of these invoices intact)
- Check contents of box against working copy of invoice for missing items;
If an item is missing:
- Circle title on invoice
- Make sure item is not in another box in the same shipment
- Set invoice aside so missing item can be claimed
- Check to make sure each item is correctly processed
Put any items on the shelf-ready problem cart that:
- ...include additional loose materials like maps or CD-ROMs
- ...do not have a call number label in the correct location (either on the spine or on the left front cover)
- ...do not have a bar code sticker at the top of the back cover
- ...do not have library stamp on the top edge
- ...do not have a location stamp on the inside back cover if they go to a location other than Library West
- ...are pamphlets less than 50 pages long
- ...have a spiral, staple, or 3-ring binding
- ...contain a vendor flag
- ...have a spine label with volume and/or issue number (e.g. vol. 4, no. 2)
- ...include more than one copy
- ...include more than one volume
- ...are a map or atlas
- ...are damanged
- ...have the words annual, biennial or a numeric year in the
title
- If the item has been processed correctly:
- Recycle the slip;
- Process the item according to location:
FLGA: Library West
FWGA: Asia
FYGA: Africa- Place on Library West book truck;
- Break down box & place under table.
FLGB: Library West, Reference
FWGB: Asia Reference
FYGB: Asia Reference- Place on West Reference book truck;
- Break down box & place under table.
FLGC: Latin American Collection
FLGX: Latin American, Reference- Remove & discard covers;
- Place book in LAC mail bin;
- Break down box & place under table.
FLGE: Science Library
FLGJ: Science, Reference
FLGD: AFA Library
FLGG: Journalism
FLGH: Music
FLGK: Education- Rebox for delivery;
- Cross-off all labels with Sharpie marker;
- Tape box closed;
- Attach new destination label;
- Initial & date destination label;
- Stack box on table next to DLC door for delivery.
FBGA: Judaica - Place on Judaica truck;
- Break down box & place under table.
- When all boxes have been opened:
- Take Library West trucks over to Access Services and offload books to Jun's processing truck (West end of Access Services area).
- Offload Library West reference books to the reference area in the east end of Access Services.
