UF Theses (paper format)

Preservation staff use a template to create records in Aleph for UF theses. Copy Cataloging staff review the Aleph records and make revisions as needed. Authorities & Metadata Quality staff extract the records from Aleph and upload them to OCLC.

USE OF TEMPLATE TO CREATE THESIS RECORD

Preservation staff input author, title, pagination, degree name (e.g., M.S.), name of major department, location for the circulating copy of the thesis, then create the bibliographic record.  Authorities & Metadata Quality staff use the Aleph manage-50 service to create holdings and item records for the archives copy and the circulating copy. Copy Cataloging staff make minor changes (see Cataloging Guidelines) to the records.  Authorities & Metadata Quality staff extract the records from Aleph and upload them to OCLC.

CATALOGING STAFF GUIDELINES FOR REVISING THESIS RECORD

Edit Record:

Addition of Subject Headings:

Subject headings are added to selected thesis records. In the case of theses with LAC and Music circulating copies, subject headings are added to the Aleph record before the record is contributed to OCLC. In the case of some science theses, subject headings are suggested by the collection managers after the record is contributed to OCLC. Science & Social Science Cataloging staff add these subject headings to the Aleph record, but do not revise the OCLC record.

Additional format copies (photocopy, microfilm, microfiche) are added to the original record by creating an additional holdings record with a public note in the 852 $$z indicating the format added (i.e., photocopy). If no record for the new format exists in OCLC, we modify our record for contribution to OCLC, but DO NOT create another record in Aleph.
