Cataloging
Stand-alone CD:
- Add an 035 to the bib record to indicate the number of CDs added to the collection. The 035 will be used to track security case usage for the following categories: monograph (cdm), serial (cds), periodical (cdp). In the following example, four CDs are recorded for a monograph.
Example: 035::(FU) cdm-4 - Place CD in jewel case, if it isn't already in one. Single and double jewel cases are available in the Processing area. Do not use the "slim" type of CD jewel case. This type of jewel case does not fit properly into the security cases.
- Place barcode on back of jewel case, upper right hand corner.
***Be careful not to cover important information when affixing barcode*** - Create separate item records for each jewel case.
- Create volume holdings as needed.
- Put jewel case on appropriate Processing location shelf. Do not place on shelves designated for print material. It is not necessary to keep text and CD together in Processing Area.

Example: 035::(FU) cdm-4 - Place CD in jewel case if it isn't already in one. If CD is in a pocket in the text, carefully remove it and place it in a jewel case. If it is difficult to remove the CD from the pocket, ask Preservation for assistance in removing it. Single and double jewel cases are available in the Processing area. Do not use the "slim" type of CD jewel case. This type of jewel case does not fit properly into the security cases.
- Place barcode on back of jewel case, upper right hand corner.
***Be careful not to cover important information when affixing barcode*** - Place barcode in text according to Barcode Placement guide.
- Create separate item records for the text and each jewel case and use the following numbering scheme for the call number. In the Enum/Chron area of the item record, input pt.<>-of-<> for each piece. Please note the inclusion of hyphens bordering the word "of". The text(s) should precede the jewel case(s).
Examples:
Book with 2 jewel cases
[book] ENUM/CHRON: pt.1-of-3
MIDSPINE: Book
[case #1] ENUM/CHRON: pt.2-of-3
MIDSPINE: CD 1
[case #2] ENUM/CHRON: pt.3-of-3
MIDSPINE: CD 2
2 volume book with 2 jewel cases
[book, v.1] ENUM/CHRON: v.1;pt.1-of-4
MIDSPINE: Book
[book, v.2] ENUM/CHRON: v.2;pt.2-of-4
MIDSPINE: Book
[case #1] ENUM/CHRON: pt.3-of-4
MIDSPINE: CD 1
[case #2] ENUM/CHRON: pt.4-of-4
MIDSPINE: CD 2
(the semi-colon after the volume numbering shifts what follows to the next line of the call number label)
- Create volume holdings. Do not use pt.<>-of-<> in volume holdings. The examples below are designed to give some guidance, but the cataloger will have to word the volume holdings to fit the particular piece in hand.
Examples:
866:40: |6 0 |a Book + 1 CD
866:40: |6 0 |a Book + CD 1-2
866:40: |6 0 |a Book + CD 1-4
866:40: |6 0 |a v.1 (book + CD 1-2) - v.2 (book + CD 1-2)
866:40: |6 0 |a v.1 (book + CD 1-4) - v.2
- When writing the call number in the back of the text, include pt. <> of <>.
- If the text needs to be sent to Binding per What to Put on Binding Shelf for LW and LW Reference, place the text on the Binding Shelf and include a purple slip with a note to indicate its enumeration. For example, if the item is a book with 2 cases, write pt. 1 of 3 on the purple slip. The jewel case(s) does not need to accompany the text to Binding - it can be put on the appropriate Processing location shelf.
Processing
