Item Process Status Guide

In Aleph the Item Process Status (IPS) is used to track the movement of material.  Catalogers will no longer charge material to a pseudopatron.

See the IPS chart for an outline of each IPS and its intended use.

The IPS can be assigned as follows:

Method 1:

Method 2:

A number of IPS are automatically generated by Aleph as a result of a particular action.  For instance:

  • When Acquisitions sends an order to the vendor, the IPS changes to OR (On Order).
  • When Acquisitions arrives an item, the IPS changes to CT (In Cataloging).
  • When a spine label is created, the IPS changes to TR (In Transit).

Other IPS are not triggered automatically, but must be set manually.  Catalogers will most often use the following manually assigned IPS:

  • Use PP (Physical Processing) when the cataloging is completed and the item is to be placed in Processing area.
  • Use BS (Binding Shelf) when the cataloging is completed and the item is to be placed on the Binding Shelf in the Processing area.
