Editing an existing record

Exercise 1:

Using the record ALEPH system number 10174; Title: The novels of Neil M. Gunn : a critical study ; Author: Margery McCulloch

  1. Search for the record (Only in Scan can you use the system number)
  2. Add to Navigator map* or display full record and choose catalog module from the toolbar then skip to 4.
  3. Choose catalog bib
  4. Lock record from the file drop down menu
  5. Change 504 to read Includes bibliographical references (p. [183]-188) and index.
  6. Delete 500 Includes index. (Click on 500, pull down edit, choose delete fields or Ctrl. F5)
  7. Add |b ill. to 300 (Click on |a pull down edit, choose add subfield, change a to b and add ill. ; then change semicolon in subfield a to colon, or click on previous subfield and F7)
  8. Add |x History |y 20th century to 600 10 field (Click on last subfield, pull down edit, choose add subfield and fill in or F7)
  9. Add an a in illustrations in the fixed field (008) (Click on 008, pull down edit, choose open form, edit or click on 008 Ctrl F to open form)
  10. Add E/L 1 (Full level) (Click on LDR, pull down edit, choose open form and edit or click on LDR, Ctrl F, and edit)
  11. Validate record (check mark on toolbar)
  12. At this point you would save to local drive and server if we were really working. Unlock by pulling down file and choosing unlock.

Exercise 2:

Using the record ALEPH system number 702; Title: The Clonal selection theory of acquired immunity ; Author: Sir Frank Macfarlane Burnet.

  1. Search for the record (Search module, use scan or find)
  2. Add to Navigator map* or display full record and choose catalog module from the toolbar then skip to 4.
  3. Choose catalog bib
  4. Lock record from the file drop down menu
  5. Add |c 23 cm. to the 300 field (Click on last subfield, pull down edit, choose add subfield, change to c add 23 cm. or click on last subfield press F7 for new subfield) *Note if you just click on the marc tag the subfield will appear at the top.
  6. Add 504 field: Includes bibliographical references and index. (Pull down edit menu, choose new field either user defined or choose from list, or, use F5 or F6 fill in field)
  7. Delete 810 (Click on field, pull down edit menu, choose delete field or Ctrl. F5)
  8. Add 830 Abraham Flexner lectures ; |v 1958. (Pull down edit menu, choose new field from list or user defined, or F5, F6)
  9. Add |c to 245 field: by Macfarlane Burnet (Click on subfield a, pull down edit menu, choose new subfield or F7) remember the slash goes on the subfield a line.
  10. Change E/L to 1 in the LDR (Click on LDR, pull down edit menu, choose open form or Ctrl. F)
  11. Add b in Cont. and 1 in index in the 008, change place of publication to tnu (Click on 008, pull down edit menu, choose open form or Ctrl. F)
  12. Validate record (check mark in toolbar)
  13. At this point you would save to local drive and server but since this is just for fun pull down file and choose unlock.


Original Cataloging in ALEPH

Creating an Original Record: From file choose new record, choose record format and click ok, LDR form will pop up (you can either fill this in now or later in cataloging) click ok, 008 form will come up, click ok, if not filled in a warning will show but click ok. From here you can add fields one by one under edit or you can expand from template. When you click on expand from template another form will come up and just click ok. Fields will then be entered on your workform. To fill in LDR and 008 later just click on LDR or 008 and under edit choose open form or click on field and Ctrl. F.
