Retrospective Analytics Guideline
Introduction
Collection managers periodically request that Cataloging & Metadata provide individual bibliographic records for issues of a particular series in the case where the library catalog only has one bibliographic record representing the entire series. Cataloging & Metadata recognizes that collection managers make these requests based on their understanding of patron needs within their respective subject areas, which necessitates improved access through more detailed bibliographic analysis. The following guideline outlines the workflow for managing these requests.
Request for retrospective analytics
Collection managers send requests for series analytic catalog records to the Principal Serials Cataloger. The Principal Serials Cataloger is responsible for maintaining a spreadsheet accessible from the Public Folder under the title Retrospective Analytics. Information in the spreadsheet includes: description of the request, requester, date of request, series treatment, number of analytics, and status.
The Principal Serials Cataloger confers with the selector, and the Department Unit Heads as needed to determine the best approach to providing more detailed access. Requests are handled in the order they are received unless the current cataloging is causing problems that need immediate attention.
Workflow
- The Principal Serials Cataloger supplies any needed information to the Authorities & Metadata Quality Unit to modify the UFU10 file
- The Principal Serials Cataloger notifies the Serials Unit in the Acquisitions & Licensing Dept. if title should now be an add rather than arrived, and transfers the title if needed.
- Copy Cataloging searches and catalogs, or retrieves and distributes material to appropriate subject cataloging units according to established procedures. Copy Cataloging will only retrieve material from stacks when it is necessary for original or complex shared cataloging.
- Copy Cataloging is responsible for re-labeling and/or barcoding when necessary. Re-processing may be done in the stack area or in the department, depending on the number of items and the amount of re-processing needed.
- Copy Cataloging is responsible for putting item on "recall" if loaned. Upon notification from Access Services that the material has been returned, Copy Cataloging will retrieve and catalog, or distribute to the appropriate subject cataloging unit.
- The subject cataloging unit will notify Copy Cataloging when all cataloging is completed as needed.
- Copy Cataloging will update the spreadsheet information and notify the selector that work has been completed.
Statistics: Title count is recorded on the statistics sheet in the New Title Count area. Do not record volume count.
