Our policy is to follow the Library of Congress (DLC) series treatment as coded in national series authority records unless local needs mandate a different approach. The series authority record should reflect local treatment decisions in those cases where it differs from national practice. Examples
Series authorities may be coded with DLC treatment and DPCC (Program for Cooperative Cataloging) treatment. Sometimes DLC and DPCC treatment is the same. When it differs, our policy is to apply the DLC coded treatment except in the following situations: 1) the series authority specifically directs the cataloger to handle the series differently than DLC or 2) the cataloger questions the appropriateness of following DLC's treatment guidelines. In the case of 2), the cataloger should consult with their unit head to determine if UF will handle the series differently than DLC. Sometimes the collection manager may need to be consulted to make a determination. The series authority should be revised to reflect any changes, and a printout of the authority should be put in the Authorities Librarian's series authorities basket. Examples
Other Institution Series Treatment
Many institutions have contributed series authorities to the national database through the NACO program including UF. As a result catalogers frequently encounter authorities with series treatment information not coded DLC or DPCC. Our policy is to follow the institution's treatment decision as the de facto national practice unless local needs mandate a different approach. As noted above for DLC/DPCC treatment decisions, follow the institution's treatment decision unless 1) the series authority specifically directs the cataloger to handle the series differently or 2) the cataloger questions the appropriateness of following the treatment guidelines. In the case of 2), the cataloger should consult with their unit head to determine if UF will handle the series differently. Sometimes the collection manager may need to be consulted to make a determination. Series Authority Link to Serial Record
Often our local series treatment decision is recorded on a corresponding serial record. This occurs when a standing order exists for the series, only certain numbers are capable of analysis, or the series is classed together and the holdings are recorded on the serial record. A note on the series authority record refers the cataloger to the serial record. The serial record provides information about how UF catalogs the series. Examples
Field 642 contains the format for numbering for a numbered series. When |5 FU is present at the end of the field, CLARR's BAM function accepts the numbering as valid. When |5 FU is not present at the end of the field, CLARR's BAM function reports a possible error in numbering: "Matches an authority record. Problem with series numbering?" The Authorities Librarian adds |5 FU to the 642 when needed unless it is deemed important for the cataloger to view the series authority record for local cataloging instructions. Catalogers should put a printout of the authority in the Authorities Librarian's series authorities basket with a note indicating |5 FU is missing. Example
