Withdrawing Monographs and Serials in Aleph

Single Volumes/Complete Withdrawals

Search the item by barcode.  Some barcodes (on the piece) are not in the system.  Items that lack barcodes need to be searched by call number, title, author, etc. and manually entered.

 

Verify piece in hand matches bib record.

 

If there is a match:

Bib Record if last or only active copy

  • Add STA SUPPRESSED
  • Add 500 note: wd (date/month/year/your initials/per selector)
  • Save record to server

Holdings 

  • Go to the LKR field
  • Add STA SUPPRESSED
  • Add 852 subfield “x” (change “a” to “x”) and wd note (date/month/year/your initials/per selector)  
  • Save record to server

Items

From general info tab 1:

  • Set Item Process Status to WD (item withdrawn)
  • General info tab 2 in the internal note field add: wd (date/month/year/your initials/per selector)  
  • Update record on the server

Multi-Volumes/Partial Withdrawals

If you’re not withdrawing complete sets do not SUPPRESS HOLS of the remaining volumes in the catalog.

Holdings

  • List volumes withdrawn in 852 subfield x and add note: wd (date/month/year/your initials/per selector)
  • Save record to server

Items

From general info tab 1:

  • Set Item Process Status to WD (item withdrawn)
  • General info tab 2 in the internal note field add: wd (date/month/year/your initials/per selector)  
  • Update record on the server

  

Mead Material

Mead material is withdrawn following the WITHDRAWING MONOGRAPHS AND SERIALS IN ALEPH procedure except for the following:

If you have a record with multiple locations and you have withdrawn the only or last Mead copy delete the 521 note field ("appr. for Mead") on the bib record.

OCLC Work

If the last copy of a work has been withdrawn from the catalog OCLC holdings must be updated to reflect no holdings in FUG. 

To update our holdings in OCLC click the “delete holdings” icon (2 bib records marked by red X) or click ACTION > HOLDINGS > DELETE HOLDINGS (Shift + F8 key).

Physical Processing

  • Black out barcode in back of book
  • Stamp “withdrawn”
