HIGHLIGHTS 2005-2006

Authorities and Metadata Quality Unit


The Authorities and Metadata Quality Unit continued to work with FCLA and the Authorities Subcommittee to update the LC Authority File in ALEPH.  A lot of progress was made.  FCLA finished loading the subject authority updates and has begun loading the series authority updates.  Nancy has worked with cleanup associated with series authority update loads and has sent reports about relevant changes to the SULs. Gerald has used UNF’s Angela Randtke’s programs to assist Nancy with cleanup.  Though Gerald continues to be involved in authorities cleanup, most of his time continues to be spent using the Aleph GenLoad loader to batchload MARC records for e-resources.  Over the next year the unit’s batchloading activities will probably continue at the same pace or increase.   Tapping our resources, Jackie Heiland was assigned an additional 0.15 FTE in the unit which raised her FTE to 0.30. The additional FTE has helped us handle the increasing demands for batchloading MARC records for e-resources using the ALEPH GenLoad loader.  FCLA has increased the current batchload limits and Gerald will continue to consult with them about additional increases as needed.  Jackie Heiland took over the loading of Books24x7 records in December and assisted with loading the Serials Solution Brief records beginning in April.

Authority/Data Quality Maintenance

Coordinated the review and submission of 1,993 NACO contributions; compiled and reported monthly statistics (Priscilla)

Coordinated the submission of 1,347 BIBCO contributions; compiled and reported monthly statistics for BIBCO both local and national (Priscilla)


Continued to work on identifying series authorities that would need to be kept in the local ALEPH authority file (UFU10) by adding "(FU)Retain in UFU10 [date] series". These have included series we treat differently from LC, series with some numbers classed together in Dewey, and ones with order information on a serial record. (Nancy)

Continued the deletion of series in the UFU10 ALEPH authority file that match the LC treatment. Monitored their linkage to the LCProd file. Corrected split files that occurred due to the lack of |n and |p on some of the series tracings on the bibliographic records. Also have used the NOTIS k490 search to trace many series that were not traced prior to 1981 by LC. This provided a better indication of our holdings on series titles that would be traced if we processed any current receipts in the series.  Also corrected numbering designations on numbered series to improve order of listings in the Brief Records index. Continued to delete series from UFU10 ALEPH Authority file that involve series changed since March 2004 and have held a printed copy to help FCLA monitor the upcoming loads of the weekly LC updates (Nancy)


Continued to transfer series treatment information from serial records to series authority records (Gerald & Priscilla)


Attended monthly TS ALEPH Implementation Group meetings (unit)      


Worked on the backlog of subject heading updating/correction using NOTIS reports; completed work on a project to provide authority control for the Ringling Collection. Continued working with correcting typos from the Ballard misspellings list after migrating to ALEPH. (Jackie Heiland, 0.30 FTE in the unit)


Loaded back into Aleph records sent to OCLC TechPro for added Japanese vernacular (Jackie Heiland)


Took over loading of PromptCat records from Julia Allen at the end of July, then trained Paul Lightcap (Archvist in Monographs Unit of Acquisitions & Licensing) to load PromptCat records at the end of April (Gerald)


Served as dept. liaison to Digital Library Center cataloging projects (Jingfeng)


Worked on Digital Library/Cataloging workflows (Jingfeng)


Limited amount of heading updating/correction in ALEPH (Gerald)
