HIGHLIGHTS 2004-2005

Authorities & Metadata Quality Unit


The Authorities and Metadata Quality Unit continue to collaborate with FCLA to update the LC Authority File in ALEPH, a function critical to the unit’s responsibility to maintain the authority structure for all headings used in the UF catalog.  FCLA has made some progress loading authority records in ALEPH that Nancy and Gerald have been very busy reviewing in LCA10 Test and Production.  Though heavily involved in authorities review, most of Gerald's time has been spent using the Aleph GenLoad loader to batchload MARC records for e-resources.  My predictions are that over the next year the unit’s batchloading activities will greatly increase.  To keep up with the demand to load these records in our catalog using GenLoad, the unit is investigating the feasibility of increasing current load limits with FCLA and has begun to brainstorm about tapping our dept. staff resources for additional help with batchloading. 


Authority/Data Quality Maintenance

Coordinated the review and submission of 1,991 NACO contributions; compiled and reported monthly statistics for NACO and BIBCO (Priscilla)


Provided cost estimates for outsourcing authority control with LTI Technologies, Inc., MARCIVE and Backstage Library Works (Priscilla)


Reviewed test loads of authority records in LCA10 Test and Prod (unit)


Continued to work on identifying series authorities that would need to be kept in the local ALEPH authority file (UFU10) by adding "(FU)Retain in UFU10 [date] series". These have included series we treat differently from LC, series with some numbers classed together in Dewey, and ones with order information on a serial record. (Nancy)


Continued the deletion of series in the UFU10 ALEPH authority file that match the LC treatment. Monitored their linkage to the LCProd file. Corrected split files that occurred due to the lack of |n and |p on some of the series tracings on the bibliographic records. Also have used the NOTIS k490 search to trace many series that were not traced prior to 1981 by LC. This provided a better indication of our holdings on series titles that would be traced if we processed any current receipts in the series.  Also corrected numbering designations on numbered series to improve order of listings in the Brief Records index. Continued to delete series from UFU10 ALEPH Authority file that involve series changed since March 2004 and have held a printed copy to help FCLA monitor the upcoming loads of the weekly LC updates (Nancy)


Worked on transferring series treatment information from serial records to series authority records (Nancy & Gerald)


Attended monthly TS ALEPH Implementation Group meetings (unit)      


Correction of diacritics problems occurring in the Gapload (load of records cataloged during the NOTIS "freeze" in April 2004) (Paul Lowry, OPS)


Worked on a name authority project in ALEPH to clean up split files; completing work on a project to provide authority control for the Ringling Collection. Continued working with correcting typos from the Ballard misspellings list after migrating to ALEPH. (Jackie Heiland, 0.15 FTE in the unit)
