All,

Here is the information that I mentioned this morning at the RS Migration meeting regarding Item process status and pseudo patrons.  I hope it still works as intended.  Please email with any problems that you may encounter with the demo.

Preservation staff,

>Hi.  Below are some instructions on how to look at an Aleph OPAC and see for

>yourselves what the patron would see re: items charged to psuedo patrons and

>items that have an Item process status set.  I tried to make the

>instructions as clear as possible so give it a shot.  Please follow the

>instructions exactly, as it only works the way I describe it if you follow

>the steps carefully.  This is an awfully complex topic though, so please

>don't get too frustrated if you can't immediately see the difference.

>

> If it doesn't work like I say it should, please let me know.

>

>If you are interested in seeing how an example of how Aleph deals with

>psuedo patrons, please follow the steps outlined below:

>

>1        Click on http://aleph.fcla.edu:4535/F.  [Please be aware that this

>is an FCLA version of an OPAC in Aleph. The UF OPAC version is down this

>week.  The UF version should be back in December.]

>2        Under the search for keywords box, drop down to and then select

>title keywords

>3        type in North American Journal of Aquaculture

>4        You will be sent to a page with the label "Full view of record".

>Information seen there will include title, description, library info and

>holdings. (There is only one bibliographic record with this title.)

>5        Please click on the holdings link which has the words All items

>underlined.  (Link will turn gray when you have your mouse over it. )

>6        You will be forwarded to the holdings screen.  For this journal,

>there are three bound items held, v.63, v.62 and v.61   According to

>Jennifer, at this time, it has not yet been decided if the enum/chron

>information will show here, so to tell for sure which row goes with which

>volume, you will need to click on the expand link.

>7        v.63 ( the top one)  is charged and is due the 26th of December.  If

>you click the underlined date itself, you can see the information about the

>piece being at the bindery.  (Please ignore Expected at 12/Dec/2002 line.)

>8        v.62 ( the middle one) is charged and is also due the 26th of

>December. You can see however that the date is not underlined.  One can NOT

>click here, therefore there is nothing else to see. (Please ignore Expected

>at 12/Dec/2002 line.)

>9        v.61 ( the bottom one) is not charged to anything. (Please ignore

>Expected at 12/Dec/2002 line.)

From what I understand, there are two categories of psuedo patrons, one that

has public information available and one that is very private.  The display

properties for each are different as you can tell.  At issue is the

intuitiveness of clicking on a due date for more information.

If you are interested in seeing how an example of how Aleph deals with item

process status, please follow the steps outlined below:

>1        Click on http://aleph.fcla.edu:4535/F.  [Please be aware that this

>is an FCLA version of an OPAC in Aleph. The UF OPAC version is down this

>week.  The UF version should be back in December.]

>2        Under the search for keywords box, drop down to and then select

>title keywords

>3        type in journal of popular literature

>*        You will be sent to a page with the label "Full view of record".

>Information seen there will include title, description, library info and

>holdings. (There is only one bibliographic record with this title.)

>4        Please click on the holdings link which has the words All items

>underlined.  (Link will turn gray when you have your mouse over it. )

>5        You will be forwarded to the holdings screen.  For this journal,

>there are two bound items held, v.4-5 and v.2-3.  According to Jennifer, at

>this time, it has not yet been decided if the enum/chron information will

>show here, so to tell for sure which row goes with which volume, you will

>need to click on the expand link.

>6        For v.4-5 ( the top one)  in the column labeled Item Status, you can

>see the words Regular Loan.  This means that it can be loaned/circulated

>according to the policies we have set up for circulating bound periodicals.

>There is no item process status (IPS) set for this one.  The default

>circulation status shows.

>7        For v.2-3 ( the bottom one) in the column labeled Item Status, you

>can see the words Binding Prep.  This means that an IPS of "Binding Prep"

>has been set for it.

>8        Please look all the way to the right end of the row for v. 2-3 and

>see the note "expected back 12/31/2003" in the column labeled Note.  This

>is set manually in each item record and would have to be deleted manually as

>well.

>9        Again, please ignore the "Expected at 12/Dec/2002" in the due date

>column.  This is a glitch that will be fixed soon.  Normally, the due date

>column will be BLANK if an item has an item process status.  (IPS

>information shows in item status column, not due date.)

>I am in contact with Jennifer Kuntz at FCLA who is working with us to

>determine if we should/can continue to use psuedo patrons or if we might

>need to switch to the item process status.  She and I will continue to work

>on these issues as the date to STP draws closer.

>If you have any questions, please let me know.  If there is enough interest,

>I can show this to you one Friday morning...
