Instructions for Configuring OCLC Software for Online Downoads into ALEPH

 

The instruction below are for configuring OCLC Connexion, Passport for Windows, and CatME software for use in online downloading into ALEPH.  In order to be successful in downloading, you must use the appropriate “host address” and “port number” for the library where you are located.  Host addresses and port numbers for the University of Florida, the University of North Florida and the University of West Florida are:

 

University of Florida

          Host address = alephtest.fcla.edu

          Port Main= 7545

          Port HCtr= 7546

          Port Law= 7547

 

University of North Florida

     Host address= alephtest.fcla.edu

          Port=7555

 

University of West Florida

          Host address=alephtest.fcla.edu

          Port=7565

 

 

 

1.     Instruction for OCLC Connexion sessions:

 

a.      Logon using a valid OCLC authorization number and password

b.     Click the tab labeled “General” from the options near the top of the page

c.     Below the label “General”, you should see options for “News”, “Admin” and “Documentation”, click the option “Admin”

d.     You should see this screen:

e.      Click the “Export Options” link

f.       A form will appear for you to complete.  Use the following parameters.

g.     Select “MARC” as “Flagged Bibliographic Record Export Format”

h.     Select “Export to a TCP/IP Connection” as the “Export Destination”

i.        “TCP/IP Connection Options” should be the host name and port provided by FCLA

j.        “TCP/IP Host Settings” leave blank

k.     “TCP/IP Timeouts and Retries”:  Timeout: 90, Retries: 3, Delay: 0 [for example]

l.        “TCP/IP Local System User Information” leave blank

m.   Click “Save My Default” at the bottom of the screen

 

The steps in a-l must be done once for each authorization number/password combination used for downloading records.

 

2.     Instructions for Passport for Windows sessions:

 

a.      Logon to an OCLC used for searching and exporting

b.     From the “Session” menu choose “Settings”

c.     You should see this screen:

d.     Click the tab for “Export/Transfer”

e.      Click “Create” and you will be prompted for “New Export Destination”

f.       Click the radio button next to “OCLC Gateway Export” and click “OK”

g.     You should see the following screen:

h.     Fill in the “host name” and “port” per information for your library, provided by FCLA and then click “OK”

i.        Confirm the name for this export destination on the resulting screen by clicking “OK”

 

This should be done on each workstation where staff will search and export records from OCLC.

 

3.     Instructions for CatME sessions (for downloading you must be connected to OCLC and searching its database):     

 

a.      Open the CatME applicaton

b.     From the “Tools” menu choose “Options

c.     You should see the following screen:

d.     Click on the “Export” tab

e.      On the resulting screen click the radio button next to “MARC21” and the click the “Create” button

f.       You will be prompted for a “New Export Destination”

g.     Click the radio button next to “OCLC Gateway Export” and click “OK”

h.     You should see the following screen:

i.        Fill in the “host name” and “port” per information for your library, provided by FCLA and then click “OK”

j.        Confirm the name for this export destination on the resulting screen by clicking “OK”

 

This should be done on each workstation with the CatME software that is used to search and export from OCLC.
