Recommendations on Hiring Process

RS Assessment/Implementation Committee

  • Assign someone to research existing personnel manuals and link each question to the appropriate site and post the result on the Resource Services Department homepage as a special employment FAQ.

Result: The unit heads voted unanimously to create a link to the Personnel Web page on the RS home page.  Phek Su will be responsible for seeing that this is done soon.

Update: The UF Library Personnel Information  web page is now available.

  • Continue to work closely with Library Personnel to clarify their role vis a vis the University Personnel Office.

Result: The unit heads thought that this was not a matter that RS should deal with.

  • Invite and address single questions in a question and answer format in issues of the Resource Services Department newsletter and provide links to appropriate source of information.

Result: The unit heads voted unanimously to have Becky interview someone from the Library Personnel Office and ask them directly some of the questions raised by the Hiring Group.  Becky will post the answers in the newsletter.  This story will appear in one of the next two newsletters.

  • Library Personnel Office will continue to arrange informational sessions. Encourage staff to attend sessions that may at first glance not relevant to their immediate interest, but in fact may improve their knowledge of how the whole system works. The Library Personnel Office was contacted by Implementation Committee members and will try to address specific concerns.

Result: The unit heads believed having the Library Personnel Office hold its workshops about this issue addressed this point.  The unit heads wanted Personnel to do the workshops again.  Look for them to be rescheduled.

  • Encourage unit heads to discuss collectively their individual approaches to hiring, interviews, etc., and possibly develop some common guidelines to be posted on the Resource Services homepage.

Result: This recommendation was changed to read as follows: 

The unit heads will meet to discuss collectively their individual approaches to hiring, interviews, etc. and develop some common suggestions to be posted on the Resource Services homepage and bulletin board. 

The unit heads unanimously accepted the modified recommendation. They will have a meeting specifically to address this issue in the near future.

  • Ask unit and section heads to develop a standard approach across the department on how to use email to announce vacancies in the department, and coordinate closely with Library Personnel to insure timely posting.

Result: The unit heads felt this had already been done.

  • Advertise the opportunities offered by the Library Personnel Office and the University Personnel Office for personal career counseling sessions.

Result: This recommendation was addressed by the accepted idea of having a link to the Library Personnel web page on the RS Department page.  In fact an entire RS web page will be devoted to personnel issues.

  • Advertise more explicitly the services offered by the University Personnel Office.

  • Resource Services Department supervisors should generate a training checklist for each position within their unit to be used during training—being addressed by the Training Committee.

Result: The unit heads felt that the Training Committee was addressing this recommendation.

  • Create an orientation checklist for new employees—Training Committee is working on a general orientation checklist.

Result: It was agreed that the Training Committee would create this checklist by September 1, 2001.

  • Resource Services unit heads should collectively create a comprehensive training schedule in which all units of the department participate to create consistency—being addressed by Training Committee.

Result: The Training Committee will address this recommendation on an ongoing basis.

  • Resource Services managers and supervisors should generate a statement of requirements and standards for evaluation during the probationary period—being addressed by the Training Committee.

Result: The unit heads felt that the following materials covered this recommendation: the Employee Handbook, The Performance Standards document, and each employee’s job description.
