Successful Outcomes and Accomplishments of
the RS Assessment Process, 2000/2001

Communication

RSD Newsletter (Four Floors) was established as an online publication to foster communication about the community. Founders and former editors: Becky-Nero Wall and Molly Knapp. Current editors:  Beatriz Lugo and Judy Rummel. Elaine Needelman, movie reviewer; Mc Lovett, student news; Suzanne Kiker, book reviewer

Four bulletin boards have been set up. In 300—RS community bulletin board, University and Libraries bulletin board, Training Committee bulletin board. In 200—a Monographs and Payment bulletin board. Currently, Sonia Tergas and Tatiana Barr are maintaining the general boards and Jorge Gonzalez is in charge of the Training Committee board

Job announcements. A commitment to a more systematic way of posting job announcement has been adopted by unit heads and department chairs. This includes making sure Personnel informs unit heads in a timely fashion of postings; posting each job announcement by email, with a link to the University Personnel announcement; making the job description available, and posting the job announcement on the RS community board as well.

The Library Personnel Office addressed the particular concerns that came out of the reassessment process by offering a series of workshops on issues of hiring, employment, etc., and will continue to try and be responsive

To improve communications within the department, a seating chart was created and is continually updated as new staff is hired

A Resource Services Department public online calendar has been made available

Phek Su  has created a RSD staff directory hompage with links to the seating chart, list of student assistants (Laydene Manning has offered to keep this up to date), the organizational chart and other features:

http://web.uflib.ufl.edu/staff/rstrain/internal/documents/glossary.doc

Hiring & Pay and Incentives

Particular questions raised in the Hiring group will be addressed when possible by a question and answer section in the RS newsletter “Four floors”. Currently, Tatiana Barr has volunteered to pursue this with Personnel

Phek Su compiled a special site on the RSD homepage listing all the incentives and awards available on the local and state level and other sources of information on personnel issues

Equipment

Many equipment needs were addressed in the interim as part of the relocation process, library planning and budget, and in response to individual needs. Other recommendations by the Equipment Group successfully acted on were:

The Reference Collection was weeded and updated

Acquisition of more book trucks

Additional work tables acquired

Additional lamps were supplied by facilities

More staff were given new computers

Unused equipment and materials were removed—An Annual Clean Up Day was established to be held in July

A networked color printer was supplied for staff use

Some improvements were made to the usability of the video equipment—DVD reader purchased; video tape rewinder; whole area dedicated to being the Media Center

A Resource Services Department wish list for equipment was put into Public Folders for all staff to contribute to. To assist in the allocation of money as it becomes available

Physical Environment

Dot Hope appointed a new RS Security and Personal Safety Committee. Their charge is at

http://web.uflib.ufl.edu/rs/rsd/rsspsc.html

The Committee has created an evacuation plan and will ask Facilities to help train staff in use of fire extinguishers; they will also request that a medical kit is made available on each floor of RSD

Facilities has completed laying the new pipes for the water supply; testing proves it is now drinkable

The plans for the ADA bathrooms are in the designing stage

Facilities is still working on the quality of the air flow by installing more air handlers

Terri Smith has volunteered to coordinate a volunteer effort to keep the refrigerator clean

Facilities worked with staff individually to improve their workstation lighting

The security of RSD has been improved by the introduction of the electronic security system

Electronic Resources and Issues

The Links Monitoring and Maintenance Committee provides a site to inform the community of the status of its work

http://web.uflib.ufl.edu/catmet/committees/active/LMMC/lmmcmain.html.

The perceived need to better inform the community of digital initiatives was addressed and continues to be addressed.

Erich Kesse gave a special presentation on  the SUS Digital Library Services

The new position of East Asian Cataloger includes the role of RS liaison with the Digital Library Center

Many RS librarians have been assigned to be members of Digital Library Center:

http://web.uflib.ufl.edu/digital/ops/projects

Procedures for the cataloging of electronic resources have been created and put into CATPRO

Betsy Simpson and Erich Kesse are exploring the opportunities for training RS staff to create structural metadata and collaborate on Digitial Library projects
