TS Aleph Implementation Group Minutes

The group welcomed Paul Lightcap who will be standing in for Suzanne during her upcoming absence.
Rich and Doug K. attended a multi-day training session at FCLA the week of September 11. Follow-up training and planning sessions are expected later in the fall.
Michele reminded the group that Verde is an ERM (Electronic Resource Management) tool by Ex Libris purchased at the end of FY06. Each SUL library (in our case Smathers, Health, and Law combined) will have its own knowledge base populated from SFX. A new version is on the horizon, but the timeframe for implementation has not been announced.
Verde is integrated with Aleph beginning with Aleph Version 18. It's not known yet if it will be necessary to repopulate vendor information when migrating to Aleph Version 18.
Betsy showed Ex Libris' Version 18 demo client and asked the group to begin thinking about training needs and if/how we might improve on the training structure from the previous migration from NOTIS to Aleph. She will send the group instructions for downloading the demo client.
Cecilia strongly recommended that Acquisitions communicate with FCLA about migrating data to Version 18, including reevaluating the mappings used during the earlier data conversion.
Joint Bibs Task Group
Jimmie reported that, according to GPO, one subscription may be used for Smathers and Law depository documents. Consequently, a single Marcive bib record will be used for Smathers and Law print and microfiche holdings. Gerald announced that Marcive electronic resource record loads are current through October 2005; print and microfiche record loads are current through September 2004.
Jimmie said that she and Jorge Gonzalez are beginning to explore changing the practice of IFAS centers having separate records.
Betsy and Ed said the task group will be investigating the possibility of using a single bib for all Smathers and Law bib records moving forward. Among other things, issues related to permissions will need to be addressed.
October TS/PS/CM meeting
Jan, Tara, and Betsy met September 13 to plan the October 12 TS/PS/CM meeting. Per Jan, the following agenda items have been identified thus far: Research Gateway, Storage facility, MSL Building plans, InfoPoint, statewide Ask a Librarian service. The group suggested adding Verde, Aleph Version 18, Endeca, and the lost/missing procedure.
Matthew is coordinating a task force to implement the e-mail notification process that needs to be in place before the New Titles logical base goes live. They will begin with MSL.
Michele said that the annual request for statistics from ARL is delayed. Also, there is no word yet on the formation of a statistics committee for FY07.
NEFLIN Holdings Maintenance workshop
The workshop will be held on Monday, November 6, at the Millhopper Branch Library from 9:00am-4:00pm. Betsy announced that registration is open, and she will send the group registration details.
The next meeting, scheduled for Thursday, October 12, 10:00-11:30am, MSL 107, will be a TS/PS/CM meeting. The next TS Aleph meeting will take place on Thursday, November 9, 10:00-11:30am, Library East Conference Room.
