Present: Monica Aiton (MSL), Jean Bostwick (LL), Jackie Brown (Co-Chair), Gerald Langford (Authority Control), Raimonda Margjoni (Gifts & Exchange), Patsy Mongo (CBS), Nelda Schwartz (Preservation), Margaret Seals (Serials), Phek Su (Co-Chair), and Douglas Smith (CBS).
Phek Su called the meeting to order and asked the group about the frequency
of meetings.
It was decided to meet every two months. Our next meeting will be scheduled
for the end of February.
Jean Bostwick gave an update on dataload review. Subset load 3 is scheduled for around Christmas and because of the holidays will have an extended review period. Order records were not loaded in subset 2. Authority records were loaded but were not fully indexed in subset 2. Jean reminded everyone that the ALEPH at UF website http://web.uflib.ufl.edu/rs/catpro/alephsupport.html is an excellent source for all activity concerning ALEPH. At present work is being done on keyword indexing and the CLARR functions we would like to see available. No date has been set for the full load which will be done on a different server.
Jimmie Lundgren gave a report on integrating resources which include loose-leafs with updates that interfile, web-pages that get updated and databases that get updated. OCLC will implement the changes in two phases. Phase one includes a redefining of fields 022, 222, 247, 310, 321, 362, 539, 547, 550 and 580 to include integrating resources. Phase two will define code i in the fixed-field element bibliographic level (BLvl). This change will not take place until July 2003. In the interim we should continue to use the monograph format adding an 006 with frequency (Freq) coded k. Douglas Smith reported on the progress of the Biography Reclass project
which has been going on for about a month. The materials are located on
the sixth floor of Library West and number about 10,000. Data Base Maintenance
did an inventory and then Collection Management reviewed the books to see
what we needed to retain. Records with LC numbers on the bibliographic screen
are automatically flipped. The work needs to be completed by March since
it must be done in the NOTIS environment. Doug maintains a spread sheet
on the activities.
Raimonda Margjoni reported on the October acquisition of more than 7,000
volumes of African/Portuguese materials. They were purchased from Professor
Abraham, University of South Carolina. Over 70% are in Portuguese. They
cover a wide range of subjects and different formats. Some are very rare
and their value exceeds what we paid for the entire collection. They are
housed in the LAD storage with the exception of 11 boxes of rare materials
which are housed on the 4th floor. Peter Malanchuk and Dan Reboussin are
reviewing the material.
