Phek Su called the meeting to order and asked for introductions. Douglas Smith was introduced in his new capacity as Unit Head of Copy Cataloging Unit.
A copy of the Committee's charge http://web.uflib.ufl.edu/rs/rsd/mcopcatcom.html was given to each member, and a short discussion on frequency of meetings was held. The next meeting will be held October 10, 2002, from 10:00-11:00 a.m. in the Library West Conference Room. Meetings will be held more frequently to keep up to date on all of the upcoming changes. Phek invited everyone to submit agenda topics.
Phek Su reminded everyone that our procedures can be found online in CATPRO http://web.uflib.ufl.edu/rs/catpro/ and distributed the URL to everyone.
Jackie Brown distributed a copy of the Recommendations of the OCLC Connexion Task Group http://web.uflib.ufl.edu/rs/rsd/oclcconnextg.html and a sample of the search screen in Connexion. The Task Group has recommended that the library wait until the Windows based version of Connexion is available before migrating. The Web version has dramatically increased the number of steps involved in all functions. Documentation is not yet available for all functions and is sometimes misleading when available. The Web version should be available in July, 2003 and more documentation is scheduled for release the end of this month. Some of the Task Group will continue to monitor the new developments through a listserve and the actual use of Connexion.
Margaret Seals brought up her concern over ergonomics since both Connexion and ALEPH are mouse intensive. There was a short discussion on this topic. Phek will check with Trudi DiTrolio for a department-wide ergonomic screening.
Instructions for downloading ALEPH 15.2 http://www.fcla.edu/FCLAinfo/lmsimp/guiinstall_15_2.html were distributed. There was a short discussion on the difference in the look from NOTIS to ALEPH records, especially in the fixed field. Betsy Simpson and Mary Ann O'Daniel created a table for NOTIS/OCLC/MARC21 Bibliographic Record Fixed Field Equivalents http://web.uflib.ufl.edu/rs/catpro/bibequil.html , which has been added to CATPRO, and the URL was given to the committee members. A sample original record created by Betsy Simpson in ALEPH was also distributed. Phek encouraged everyone to load the 15.2 version, "play" with it and use the meeting as a platform for discussing the "look and feel" of ALEPH.
Phek Su provided a copy of the Test Data Load Review Report Form http://web.uflib.ufl.edu/rs/rsd/testdatarptform.html and a sample spreadsheet of records that will be loaded. Data load review spreadsheet is available in the Outlook Public Folders/RS LMS Migration Project. FCLA has not announced a date for the first data load yet. They plan to conduct data review training after the first test data load date is established. Mary Gay Anderson expressed concern over the copy level holdings notes, where they will display, and if they will be tied to each copy level. Phek mentioned that this issue might already have been discussed by the RS Preliminary LMS Migration Planning Group http://web.uflib.ufl.edu/rs/rsd/rspmpgmain.html. She will check the minutes and report back.
Mary Gay Anderson reported that MARCIVE tapes are being loaded now and are the same quality as OCLC tape loads. All SUS libraries subscribed to both the Marcive GPO/Cataloging and the shipping list records, except for UF, who opted for only the GPO/Cataloging service. FCLA has announced that it will not support the current arrangement for loading MARCIVE records after the migration. The libraries are discussing alternative arrangements among themselves and with Marcive. How MARCIVE will interface with ALEPH is another question.
Mary Gay Anderson and Doug Smith will be creating a procedure for the SourceOECD material that comes in both hard copy and electronic format for subscribers.
