FY12 Annual Report
The Cataloging and Metadata Department made significant strides on many tasks during the year. Two important areas of focus - storage-related projects and preparations for the Shared Bib implementation - required a considerable outlay of time and resources. Productivity remained high thanks to the dedication and expertise of staff, along with the contributions of volunteers and time-limited/OPS employees. Selected highlights are noted below as well as links to the following detailed unit/area reports:

Cataloging Activity
- Cataloged over 52,000 titles, including approximately 8,500 original records:
- Cataloged 18,674 titles for the branches, including 3,653 original records (see FY00-12 stats),
- Cataloged over 32,000 titles, including almost 4,000 original records, for the Stodocs project involving the cataloging of pre-1976 federal documents in storage. The project involved 14 employees (8 permanent staff, 2 time-limited staff, 3 OPS, and 1 volunteer) working up to 220 hours/week (5.5 FTE) at ALF. - Cataloged 1,486 titles from the Baldwin Library of Historical Children's Literature
- Barcoded and cataloged Dewey material identified through the storage traying process. This project, referred to as Stogen, required a substantial commitment of staff time. 6 permanent staff along with 2 temporary employees worked over 80 hours/week at ALF to correct problems and complete cataloging for items awaiting traying.
- Obtained OCLC authorization and served as cataloging agent for the Division of Plant Industry (DPI) in order to catalog approximately 1,650 Gov Docs Center of Excellence titles held at DPI (count included in Stodocs project total above).
- Batch loaded 43,609 records for the following electronic resource packages: Classical Music Library, Counseling & Therapy Video, Early English Books Online, Ethnographic Video Online, US Federal Government Documents e-monographs, Henry Stewart Talks, IEEE Xplore, Knovel, MyiLibrary, PsycBooks, Springer E-books, and World Bank e-library.
- Withdrew 1,690 volumes/units and reclassified 11,107 volumes, the latter primarily consisting of Education Library periodicals.
- Provided support and consultation for the Map & Imagery Library's cataloging 5,676 cartographic titles.
Statewide Projects
- Played a major role in the lead-up to Shared Bib, a State University Libraries' initiative to implement a unified library management system. Staff members performed test load reviews, corrected/updated thousands of records, participated in training activities, represented UF on statewide committees, attended frequent meetings, developed guidelines, and consulted with the Florida Center for Library Automation (FCLA) on numerous issues. Following years of preparation, including a two year pilot, Shared Bib was launched in late June 2012. The system heralds a new era of collaboration through improved access to over 10 million bibliographic records and the potential for more efficient cooperative workflows.
- Participated actively in efforts to prepare material for the High Density Storage Facility. In addition to the Stodocs and Stogen projects noted above, the department:
- Collaborated on a proposal to catalog non-Stodocs US federal documents in storage (dubbed Alfdocs) and created a report to facilitate pulling items.
- Worked with the Documents Department to develop a plan for cataloging Congressional Hearings held at the Marston Science Library.
- Provided input to facilitate the transfer of University of Miami material to storage.
- Refined policies and workflows related to serials and other continuing resources.
- Served on a local Condition Assessment Task Force tasked with determining how the physical condition of items should be noted in holdings records.
- Collaborated on a proposal to catalog non-Stodocs US federal documents in storage (dubbed Alfdocs) and created a report to facilitate pulling items.
Cooperative Programs
- Submitted 34 records as a new ECIP partner library with responsibility for providing Cataloging-In-Publication records for the University Presses of Florida. Per LC's Web site, "ECIP partner libraries act as virtual Library of Congress cataloging
sections to catalog forthcoming titles published by an affiliated
university press, selected independent publishers, or in specific
subject areas."
- Created/upgraded 19 Directory of Open Access Journals
(DOAJ) CONSER records for CONSER's DOAJ pilot project.
Cataloging Workflow
- Assumed responsibility for cataloging standing-order adds, a task previously handled by the Acquisitions
Department, and eliminated a substantial backlog. Created an updated list of c/sep and analytic standing orders to reduce errors and help streamline the workflow.
- Collaborated with FLVC to revamp and implement the process for adding virtual bookplates for endowment funds.
- Worked with the Digital Library Center to move non-MARC-based UFDC items to Mango, update dissertation adviser data, correct UFDC Sanborn links, and other issues and activities.
- Attended and archived RDA webinars and documents, and did preliminary planning for a local implementation to coincide with the Library of Congress 3/31/13 target date.
- Successfully installed Aleph Version 20 and Connexion Version 2.30.

Began update of AlephPro guidelines by creating a review list.
- Hosted five interns/volunteers (Lila Sadkin, Gabby Gizaw, Theodore Doras, Michelle ElNeil, Athy Fitos), three of whom were later hired by the library.
Library Initiatives
- Offered Creative Commons file for public access (http://www.uflib.ufl.edu/catmet/creativecommons.html).
- Participated in the development and implementation of the Serials Solutions' Summon discovery service.
- Collaborated with FCLA to create a test load of Hathi public domain records and ERIC documents in Mango.
- Served as cataloging liaisons to affiliated libraries: Career Resource Center (new), Division of Plant Industry, Harn Museum Bishop Study Center, Herbarium, IFAS Centers, Mead Library, and Nuclear and Radiological Engineering Department, and contributed to process improvements through the Affiliated Libraries Task Force.
- Consulted with the local OLE programmer and attended meetings as needed to support the development of the Kuali OLE library management system.
- Contributed to grants and grant proposals - Discovering Florida in Maps (CLIR), North American Coordinating Council on Japanese Library Resources' Multi-volume Sets (NCC), eGovDocs: Building Statewide Capacity (LSTA), The Panama Canal: Preserving a Legacy (IMLS), French Pamphlet Planning Project (NEH), and Cataloging of Online Classical Latin Texts from the Packard Humanities Institute (mini-grant).
