Want List Database Guidelines
The Want List File is an automated database containing a list of needed materials which have not been ordered through the Acquisitions Department. The database will be maintained by the Library Office and made available to the Gifts and Exchange Section on a continuing basis. Searches, which may include any single field or Boolean logic retrieval, will be made upon demand. The list will be used to allocate funds not directly attached to a specific discipline or year-end funds. The list will be the basis for allocation recommendations utilizing the Director's Contingency Fund. The list will be used to locate replacements through gifts and exchange for lost materials which, for some reason, cannot be reordered or found in the out-of-print market.
Bibliographers, selectors, and specialists may submit titles at any time, using the attached form. All materials in all formats may be listed--desiderata, items too expensive to be purchased with funds currently available, large sets which go beyond the means of any one fund and for which no purchase negotiation can be organized.
The text fields are as follows: author, editor, title, format series, publisher, place of publication, notes, search status, selector/specialist, and bibliographer. Enter the author, editor, selector, and bibliographer's name by surname first. Drop articles at the beginning of the title. Search status represents the level of verification completed at the time the form is submitted: enter the last level completed--LUIS, OCLC, or RLIN. Thus, if RLIN is listed, it will be understood that both LUIS and OCLC have been searched prior to the form's completion and either no entry was found or the LUIS entry represents a missing item. The entry "Date" is the only date field in the database, and the date the form is completed should be entered. The number fields are date of publication, edition, no. of vols./reels, items, etc., estimated cost, and priority. Only numbers may be entered into these fields, and only the year of copyright or publication should be entered in the date of publication field. The "Est Cost" field will default to a $ format. The only Flag field is "In Print" and you should enter a yes or no in this field.
