The Domestic Approval Plan Review Committee will work on two projects during fiscal year 2007/2008:

Project I will examine the YBP approval plan currently in place. The committee will evaluate the materials sent on approval for comprehensive coverage in subjects as profiled and analyze YBP services for efficiency and support to the libraries. The committee will assess profile management, subject profiling procedures and reporting profile changes workflow. This first project analysis will assist in modifying the YBP approval plan to increase its effectiveness for acquiring library materials.

Project II will establish the criteria for an effective domestic approval plan. The committee will identify the viable domestic book vendors that provide book approval plans to academic research libraries. The committee will evaluate vendor services that assist operations for collection managers, acquisitions and cataloging staff. These services should be accessible through an online system and include features such as collection/approval comparison reports and online selection, ordering, claiming and invoicing modules. The vendor service should also promote prompt access to materials by supplying MARC records and shelf ready processing. The committee will also evaluate current workflows for approval and firm orders and should examine selection and order facilities that could expedite procedures, such as OCLC WorldCat products. The committee will select vendor candidates and schedule demonstration presentations of possible vendors. These presentations will be evaluated by the committee and a recommendation for University of Florida’s domestic book vendor, starting service for 2008/2009 fiscal year, will be presented to the Directors.

Timeline for the Project I:

  • Schedule subject profiling sessions with YBP, early April
  • YBP perform profile changes, June 2007
  • Implement adjusted YBP profiles, July 2007
  • Monitor results during fiscal year 2007/2008

Timeline for Project II:

  • Survey peer research libraries concerning domestic approval plans
  • Evaluate domestic approval vendor through Web site
  • Examine current approval and firm order workflows
  • Evaluate OCLC WorldCat Products and other library production services
  • Make recommendation to Directors concerning which vendor to ask for presentation(s) to be scheduled during October/November 2007
  • Evaluate vendor presentations and make recommendation to Directors during  December 2007
  • During January 2008 award account to vendor
