1. Announcements
- Introduction to Sonia Coleman, the new Administration Office Program Assistant. She will now be taking minutes for these meetings.
- Major Cost Spreadsheet: The library is “okay” regarding the budget for the major costs affiliated with the move back into Library West and some upgrades/options will be available. The Table of Contents project has been approved by Dale Canelas.
- Jingfeng Xia is leaving the library; his last day is 1/26/06. This position will be posted.
- Director of Development Sandy Melching is leaving; her last day will be 1/24/06. She will be going to the Borland Health Sciences Library at the UF Health Science Center in Jacksonville. That position will be posted.
- Digital Collections is reloading records and will soon be available for public access with the Baldwin Collection. A new banner graphic is needed and suggestions are welcome.
- Electronic Dissertations are being sold on Amazon.com. This is not illegal or breaking any rules, as the contract has a vague statement that the dissertation may be made available in whatever format is seen fit. This being said, UMI Dissertation Publishing has agreed to revamp their permission agreement and make it more explicit. This should be done by May and be available for Summer classes. Martha Hruska will convey the necessary information at the January 12, 2006 ETD meeting.
- Old bindery (Heckman) and new bindery (ICI) have merged and become The HF Group. There should be no change in policy/procedure, but updates will be issued if necessary.
2. Updates
- Table of Contents Project: 2001 is currently being uploaded. 2002 will be extracted and loaded after 2001 is complete.
- The DLC is preparing the Florida Digital Archive project tables. UFDC still needs to be mapped to PALMM metadata, but it is expected that FCLA can use FDA submissions for PALMM once this is complete.
- Budget Status: $1,731,300.22.
- Preservations has hired a student assistant for 20 hours a week sort Item Records. She’s working manually at the moment but will be on MacroExpress shortly. If she stays over the summer, she may be able to start on some of the other branches as well.
- Institutional Repository Group; progress is being made.
- Serials renewal invoices for Harrassowitz, EBSCO and SwetsOxford have been loaded and are continuing to be loaded as they come in.
- The Serials Archivist position has been reposted and candidates will be reviewed soon.
3. Discussion
- The catalog is inundated with “dead-end” links/information directing people to “information coming soon” for digitized records. It has been requested that further information be gathered about when these records will be loaded and available or take the directed “online to connect” links be removed until completion has a more definitive timeframe.
- Workspace Assessment
- Spreadsheet (located in Public Folders/TS Stuff) is currently being compiled for purposes of a complete master inventory.
- Mail room specs requested; conversation is ongoing as to the extent of “shared space” that this will be and how it will be organized/staffed. It is a shared opinion that if the mail is more centralized that there should be a dedicated mail clerk. It is also a shared opinion that a loading dock should be included. It was suggested that the MSL mailroom be looked at for ideas and thoughts.
- Central spaces need to be worked on/refined. Volunteers were taken for the several different kinds of areas (i.e. receptions, conference rooms, etc.).
- More conversation regarding TS building and long term goals (security, location, shuttle, etc.)
- Conversation regarding book gifts/collections, what the long term desire is regarding receiving these collections vs. the space they take vs. digitizing them.
- Systems Liaison Program is still being discussed. “Desktop Support” is the idea on the table currently.
- Digitization of Serials/backlog: It was mentioned that it would be beneficial to be more aware of what kinds of digitization options/alternate digitizing locations, such as Harvard.
- The main issue with some of the digitization of backlog/material is Copyrighting. The possibility of utilizing the Internet Archives for requesting bound copies of materials was mentioned.
