Technology Services Management Group Meeting

Minutes

Nov. 23 , 2004

1.         Announcements

·         Michele Crump is on vacation.

·         Eligible staff will received a 1.5 % raise.  The UF Administration will only fund the raises from January 2005 – June 2005.  After that money to sustain the raises will have to come out of the Library budget.

·         PeopleSoft OPS reports are being generated.

·         The UF Libraries will have the opportunity to vote for Aleph enhancements for Version 18 via the North American Aleph User group ballot.

·         The Library West Collection Preparation Steering Committee has drafted an interim report, which includes with a request for funds to start the project.  The group recommends proceeding to make call number changes starting with Periodicals although this change would not show up on the item until the material was bound.  Then they will be bound and shelved in Dewey in ALF.  Materials would be shifted once moved back into Library West.  10-12 frequently requested microfilm titles will be moved to MSL now.

·         The SUL Technical Services Planning Committee is planning a meeting for January 7th.

·         Martha has been appointed to be the Libraries’ IT Security Administrator.

2.         Updates

a.                   Priority activities in each dept

·         Acquisitions & Licensing --

o       Aleph and PeopleSoft file exchange (flat file) was transmitted successfully.

o       Differentiating between vendor location in PeopleSoft and alternate remit address (called vendor sequence in PeopleSoft) still problematic.

o       Most of Acquisitions and former RS Web pages have been transferred to the new Library template.

o       Jack Waters is using Macoexpress to transfer PeopleSoft data into Aleph records.

·         Cataloging & Metadata --

o       Naomi Young conducted Serials Cataloging training on Friday & Monday.

o       Still waiting on FCLA to configure the BNA TOC loader.

o       The Copy Cataloging Senior LTA position has been posted.

o       Resumes are being received for the Digital Projects Metadata Librarian.

o       Baldwin grants

·         Digital Library Center -- Erich Kesse

o       Space allocations –

          Brittle Books have been moved into the old DLC conference room.  Two unused cameras have also been moved into this space and are going to be used to process a filming backlog of material.

o       Grants –

          Finishing Ephemeral Cities

          Baldwin project

          UF Heritage Grant

          African American History

          New World Collections – funded through various sources

          Florida Newspaper Grant under review by NEH

          Digital Library of the Caribbean under review by Department of Education

o       Programs –

          Film backlog for newspapers and brittle books. Brittle books film backlog has resulted in a decision to digitize first and then film.

          Reprogramming digital library tracking database.

          Investigating Greenstone Version 3.0 as a possible replacement for the FCLA digital library technology.

·         Systems -- Bill Covey

o       Various programming initiatives are in progress.

o       Still trying to assimilate PeopleSoft permissions.

o       Trying to get a system in place to provide for electronic entry of position descriptions.

·         Preservation -- Cathy Mook

o       Conservation staff were asked to complete a Heritage Preservation Survey, which resulted in a decision to plan a conservation assessment of West materials housed in ALF, the stacks, MSL, and possibly AFA.  Cathy Mook will talk with Bill Covey about generating random numbers to use in the conservation assessment.

o       The loft has been made into an advanced paper-processing lab.

o       The Binding Unit is binding African titles and converting holdings.  Converting some of the holdings has proven to be difficult so Cathy Mook and Anita Lambert have developed a slightly less than compliant method (Z-Method).  Cathy will provide Martha Hruska with a copy of the procedure.

o       Cathy has been interning at FCLA on Mondays.

o       Preservation’s Web site has been converted to the new Library Web template and will be going up today or tomorrow.

 

b.         Staff authorizations project

·         This project is still a work in progress.

c.         Budget update – Jack Waters

·         Materials Budget - $1,063,738.37 with another million in carryforward funds.

·         $1,547,896 will be paid to Elsevier.  The Libraries will receive a portion of this back from HSCL and as vendor refunds for cancelled paper subscriptions are received.

·         DSR distribution still to come.

3.         Discussion – Use of Blogs

·      Blogs were discussed as a possible communications tool.  Bill Covey suggested use of a bulletin board instead and will direct committee members to bulletin board examples.
