GENERAL PROCEDURES: INCOMING (Non-Grant) MATERIALS

Overall Book-Handling Reminders

  • DO NOT process in (or do double-fold test on) any book that is listed as limited circulation (ltd) or rare on NOTIS (as shown in the copy level information on the Copy Holdings screen). These volumes should be reviewed by the Conservation Unit.
  • NEVER perform a double-fold test on a book published prior to 1850. Review Determining Appropriate Test for Brittleness.
  • If in pieces, bag, tie or rubberband if appropriate to protect the volume during shelving cycles.

Incoming (Non-Grant) Volumes

  • Initial Receipt of Incoming Volumes.
    • Count each title/volume for incoming statistics.
    • Note if previously reviewed (i.e., stamped with any Brittle Books Program stamp].
    • Review physical condition.
      • If suitable (in one piece and dft 4+), return to holding location.
        • Forward to Processing if an external call number is needed.
      • If the volume is in pieces follow procedures for preparation for Collection Management Review.

  • Preparation for Collection Management Review.
    • Verify barcode is attached to appropriate NOTIS bibliographic record.
      • Create item records if needed.
      • Record created items on the statistics form.
      • Link unlinked item records if possible.
    • Note if either NOTIS or the volume shows that the edition was previously filmed by the Preservation Department Reprographics Unit.
      • If a volume has been previously filmed, write HAS BEEN FILMED BY UF across the review flag and circle the "after filming" section.
      • If the volume is stamped to indicate UF filmed the title, but is not updated on NOTIS and it cannot be found in Filmlog, put aside for further investigation.
    • Assign Collection Manager/Bibliographer name to top left of review flag and insert in volume.
    • Date stamp the flag.
    • Charge to current shelving patron id.
    • Shelve on appropriate "awaiting review" shelves.
