Review Filming Priorities and Commitments.

Objectives:
  • Develop a complete but updateable list of projects and regular work queues with timelines and deadlines, in order to ascertain best filming queue.
  • Define priorities and develop plan to most efficiently achieve timely results.
  • Develop an action-date system for notification of upcoming activities.
Progress:
  • 1999 July 15.   List of projects and work begun.
  • 1999 Aug. 20.   Listing of projects and development of timelines continues.
  • Fall 1999  Completion of USNP anticipated, USAIN ramping up, non-grant filming prioritized.
  • Spring 2000  Timelines projected on paper. Database development postponed due to high priority of designing, testing and migrating to the new Filmlog-Lazarus-Reprosaurus database.

Review OPS Task Assignments and Schedules to Maximize Use of Both Cameras.

Objectives:
  • Review workflow to facilitate fullest possible use of cameras, with respect to budgetary considerations.
  • Develop schedule for OPS to best utilize cameras while maintaining appropriate separation of the various project budgets.
  • Develop generic area (analog, brittle book, grant] position descriptions for general OPS staff.
Progress:
  • 1999 July 15.   Awaiting fall work schedules of OPS assistants.
  • 1999 Aug. 20.   Listing of tasks begun and discussion of cross training initiated for tasks within the unit.
  • 2000 Spring.   Students trained to cover multiple priority tasks.
  • 2000 Summer.   Completely new staff of students. Training begins again. Cameras busy between 30-70 hours weekly, dependent on student scheduling.

Continue Development of Databases and Online Support (Reports, etc.) .

Objectives:
  • Identify tables and/or databases that would enhance workflow and allow further automation of processes including microfilm sales, target preparation, etc.
  • Develop profiles for the identified additions.
  • Develop the additions themselves.
Progress:
  • 1999 July 15.   New documentation being written and current databases being reviewed.
  • 1999 Aug.20.   Reports being created and new tables developed for existing databases, especially for USNP materials.
  • Late 1999/early 2000 Lazarus, an interim reprographics database, constructed by Gus Clifton in Microsoft Access.  Lazarus replaces Q&A. 
  • Early 2000 Systems Department continues to work on SQL version of Lazarus, code named Reprosaurus. Will preview March 2000.
  • 2000 Spring.   SQL database in test stages. Much development of reports and queries remains. Some redesigning necessary to allow full spectrum of use of data for sales and grant oriented updates.

Objectives:
  • Continue gathering U.F. holdings using bibliography, prepare them for microfilming, and microfilm after rights issue decided.
  • Develop proposal for additional filming of texts by, about or related to Eric Williams.
Progress:
  • 1999 July 1.   Continuing gathering of titles held by U.F. Some remain missing from holdings locations.
  • 1999 July 1.   Rights still not decided.
  • 2000 March  No progress to report
  • 2000 Spring.   Remains in limbo.

SOLINET/NEH CPMP4 Theology Grant
Objectives:
  • Maintain shipment schedule as submitted in SOLINET/NEH CPMP4/Theology grant proposal.
  • Remain current with NOTIS updates for materials filmed and returned by SOLINET for CPMP4/Theology grant.
  • Complete CPMP4/Theology grant this fiscal year as scheduled.
Progress:
  • 1999 July 1.   Theology Phase 2 shipments on schedule.
  • 1999 July 15.  : NOTIS updates continue as filmed materials arrive from SOLINET.
  • 1999 Aug.20.   NOTIS updates completed for phase one materials; nearly current for Phase 2 received from SOLINET. Shipments continue on schedule.
  • 1999 February  Was asked by SOLINET to provide 100 additional titles.  Was able to comply.
  • 1999 March Last shipment of Theology shipped to SOLINET.
  • 2000 Spring.   Continue to receive shipments from SOLINET. Continue updates and reel processing.
  • 2000 Summer.   Continue to receive shipments from SOLINET. Continue updates and reel processing.
     
SOLINET/NEH Slavery Grant
Objectives:
  • Receive award and begin workflow for maintaining schedule.
Progress:
  • 1999 July 15.   Awaiting firm award and scheduling for grant.
  • 2000 Spring.   Award confirmed, schedule received.
  • 2000 Spring.   Jeffrey Barr delivered the first batch of candidates for the July 15 first shipment. The Law Library delivered other candidates which Barr will review for appropriateness.
  • 2000 Summer.   First shipment is prepared for mailout.
NEH Preservation and Access for American and British Children's Literature, 1850-1869
    Objectives:
    • Receive award and begin workflow for maintaining schedule.
    Progress:
    • 1999 July 1.   Awaiting award notification for grant.
    • 2000 Spring.   Award received. Grant begins in October. Brittle Books staff will perform the bibliographic searches for all titles prior to filming and provide targeting packs for the microfilmer.

Objectives:
  • Identify materials suitable for outsourcing, selecting from materials already prepared by Brittle Books Program staff for microfilming.
  • Develop RFP for outsourcing selected brittle books.
Progress:
  • 1999 July 1.   Draft in review.
  • 1999 Aug.20.   Review of other Institution's RFP's continuing. Decisions on activities desired and whether to be all inclusive (processing with or separate from duplication) in discussion.
  • 2000 March  RFP planning on hold.  Might look at issuing 2 contracts (less than $24,999 each) rather than going through elaborate bid process.  Backlog currently being filmed using P.O.'s.

NEH's USNP-Florida Newspaper Microfilming
    Objectives:
    • Continue USNP-Florida newspaper microfilming as scheduled by NEH-awarded continuation project.
    Progress:
    • 1999 July 1.   Collection of original documents from around the state continuing as scheduled.
    • 1999 July 15.   Discussion of next newspapers in queue and method of acquisition discussed..
    • 1999 July 15.  : Processing of filmed materials will begin upon receipt of PO for this Grant.
    • 1999 Aug.20.   Filming of current in-house grant titles (Brooksville, etc.) continues. Decision of possible refilming of one title forthcoming.
    • 1999 Aug. 20.   Most of the to-be-filmed Cuban exile papers retrieved from Miami. Collation, flattening and inventory to begin immediately.
    • 1999 December Filming on USNP completed.  Database and NOTIS entries continue into Spring 2000
    • 2000 February 16 USNP wrap up party held at University of Miami. 
    • 2000 March  Martha Hruska, Grant PI, writes final report.  State wide Newspaper database  posted to the Web at http://web.uflib.ufl.edu./fnp/ .  Check it out!!
    • 2000 Spring.   Extension granted to film more titles, using remainder of money. Titles present in the Preservation Dept. have been checked in and prepped for filming.
    • 2000 Summer.   Filming of titles begins. Other newspapers are to be delivered soon. Some will be outsourced to Micrographics, Inc., if physical condition permits.
       
    USAIN Microfilming Grant
    Objectives:
    • Complete USAIN microfilming grant as scheduled.
    Progress:
    • 1999 July 15.   Collection of original documents continuing as scheduled. 400 titles prepared for microfilming.
    • 1999 Aug.20.   Materials being reviewed by Conservation prior to filming.
    • 1999 Fall  Cataloging progresses slowly.  Filming begins in November.
    • 2000 Spring   Cataloging and Filming continue.  Web site created.  No cost extension of grant ending date from July 200 to December 2000 granted.
    • 2000 Spring.   Title gathering continues. 1000 volumes in database as filmable. Serial cataloging begins in earnest.
    • 2000 Summer.   Temporary monograph cataloger brought on board. More titles gathered. ILL procedures begin.

Continue Regular Queue Newspaper Filming.

Objectives:
  • Resume filming of the regular queue newspaper titles.
Progress:
  • 1999 July 15.   Filming remains suspended for the duration of the USNP filming project.
  • 1999 Aug.20.   Priority list being compiled for earliest possible filming queue opening.
  • 1999 Fall   Filming on African back log begins.
  • 2000 Spring  Filming on African backlog nears completion.  Judaica is next in line, per requests from Special Collection staff.  Some LAC priority titles are outsourced to Micrographics, Inc.. 
  • 2000 Summer.   Filming of queue continues, interspersed between USNP titles, sharing the same camera.

Complete Microfilm Regeneration Project.

Objectives:
  • Regenerate and archive all previously identified remaining microfilm negatives selected for regeneration.
Progress:
  • 1999 July 15.   Storage blankets opened for the fiscal year and extended to accommodate additional regenerated film together with additional annual master microfilm production.
  • 1999 July 15.   Retrieved all identified regeneration candidates for temporary housing in Preservation to enable cost and shipment schedule estimates.
  • 1999 Aug.20.   Submitted list of remaining reels to Special Collections for prioritization as only approximately half can be completed this fiscal year due to budget constraints.
  • 2000 Spring  $30,708 is awarded to Preservation via carry forward funds to finally complete regeneration project and begin to outsource filming of substantial brittle books backlog.  Much rejoicing in department.
  • 2000 Summer.   Most of film regeneration completed.
