Digital Files Inquiry Email

For contributing newspapers who have already granted permission (see permissions requests letters here), the papers should be asked if digital files are available for current issues. For newspapers without digital versions, the inquiry should be re-sent every four months in case digital files do become available (and the DLC Newspaper Calendar has a reminder).

Dear Publisher:

Your newspaper is preserved and made accessible through the Florida Digital Newspaper Library, supported by the University of Florida Digital Library Center. We currently scan the print editions of your paper. We also accept digital files, which allow us to archive and preserve much higher quality images. Do you have digital files for current and past issues?

We can accept the majority of digital file formats (Adobe InDesign, Quark, PDF, and many other files sent to printers). We can accept files by email, FTP online transfer, or via DVD or hard drives sent by mail.

After Initial Email

If there are no digital files, note the date of the response on the newspaper queue spreadsheet and save a copy of the response to the Projects-FDNL folder.

If there are digital files:

  • Note response on the newspaper queue spreadsheet and save a copy of the response;
  • Send a follow-up with a schedule for accessing the newspapers;
  • In the follow-up message, confirm the method of data transfer (FTP, DVDs, drives) and the schedule;
  • Note the method and the schedule on the DLC Newspaper Calendar.
