Microsoft Outlook
Setup
Logon as liaison, and install Outlook from \\Smathersnt2r\Departments\O2k3\. The installation key is in a file in that folder too.
To setup a particular staff member for using Outlook:
- Logon as the user.
- Double click the desktop icon, and the Outlook Setup Wizard launches.
- On the E-mail Accounts dialog box, select Yes (the default).
- On the Server Type dialog box, select Microsoft Exchange Server.
- On the Microsoft Exchange Server dialog box,
enter smathers2k3ex.smatherslib.uflib.int.
and for User name, enter the logon name.
Web Access
You can work the library email from any computer with Internet access.
- Point a web browser to http://wwwmail.uflib.ufl.edu.
- The login name needs to have "smatherslib\" in front of it, like smatherslib\gusclif.
It looks very different in Internet Explorer versus Mozilla Firefox, but the functionality should be the same.
One alert user remarks that Mozilla works faster with slower connections.
Signatures
So you want a fancy little sig line, eh? Here's what to do:
- Select Tools, Options, and the Mail Format tab
- Click the Signature Picker... button
- Click the New... button
- Then type up whatever you want.
P.S. Pay attention to other options along the way.
Virus Protection
It seems that some folks have their Outlook client configured
to automatically open new mail as it arrives.
Please make them stop that.

When that happens, auto-opening mail can be the equivalent of
auto-launching viruses.

I've only found one spot in Outlook which applies to this. Are there others?
- Select Tools | Options | Preferences | E-mail Options...
- Then under After moving or deleting an open item: select return to the Inbox instead of one of the open... options.
Mailbox Size
30MB is the cut-off point for being able to send new mail.
25MB is the point where warnings are issued by the System.

To determine the size of a user's mailbox on the server:
- Under the user's login, open Microsoft Outlook.
- Empty the Deleted Items folder.
- Right click the Outlook Today icon, and select Properties.
- Under the General tab, select Folder Size.
- Read the value under Total Size.
- Scroll down the window to see the file sizes of the subfolders.
