Sending Materials to IA

After being identified as having priority for the Libraries, materials to be sent must be:

  • Bound
    • On side, no top binding
    • Not overly loose or tight
    • Covers cannot be too loose or fragile
    • Not less than a quarter inch gutter, on an approximate 75-degree angle will be unscannable
  • Within the size limits:
    • Maximum: 9.4 wide by 14.2 high
    • Must be less than 3 inches thick
    • Minimum: 3 inches x 3 inches may be possible
  • Without Special Considerations
    • Foldouts require more work
    • No sticky or uncut pages
  • Out of copyright (or have permissions granted; files will be kept by the DLC);
  • With a bibliographic record in Aleph;
  • Over 200 pages (or at least over 200 on average and over 100 on each individual item).

Any bound, out of copyright items with an Aleph record for dLOC, the IR, or another existing project should be considered for vended scanning.

Workflow for Sending to & Ingesting from IA

  • DLC will generate the packing list (picklist) for IA.
  • DLC will forward an electronic copy of the packing list (picklist) to Cathy around the same time.
  • DLC will bring volumes to Preservation on book trucks.
  • Preservation will confirm that the books to be shipped and the picklist match.
  • Preservation will pack the books into shipping cartons and fill in the data in the shipping crate # column.
  • Preservation will roll the materials over to Facilities for actual shipment.
  • Once the materials are back, Preservation will notify the DLC.
  • DLC will pick up the materials.
  • DLC will check physical materials returned from IA against electronic files.
  • DLC will check electronic files on IA and will ingest into processing queue:
    • DLC pulls the zipped JP2 files and the zipped ABBYY file.
    • DLC unzips both. ABBYY is fine as is.
    • DLC converts JP2 files at 300dpi (no resampling) to TIFF for use in processing.
    • DLC conducts image processing as per normal standards/
    • DLC QCs files for loading into UFDC. Regular processing (OCR, Load, metadata verification) continues
    • DLC archives internally and to FDA.
  • DLC will return physical materials to Preservation for return to the shelves.
