Using the UF Libraries' Catalog

Search Results/Brief Records Display

If your keyword search resulted in more than one record, you will be presented with a list of brief records as shown below. (When you Browse Organize Lists, you will see the Browse Results display.)

[Brief Records display]

If you retrieve fewer than 1000 records, the records are sorted (by default) in order by year, with the newest first. You can re-sort your results by author or title.

The call number and physical location(s) of the material appears in the Location field of the record.

NOTE: Click on an entry’s Location to display the Holdings Record and see details such as:

  • the number of copies of a book available at a library
  • what volumes we own for a journal, magazine, serial, or newspaper
  • critical supplemental information about items (e.g. due date if checked out, or special location notes).

Click on View Full Record or the Title to display the Full Record for that entry. A record may include too many copies and/or more library locations to fit on the Brief view, but the Full Record will always display all the items and locations.

If there is a URL associated with an entry, it will appear in the Link field. Clicking on the link will cause it to open in another window. Sometimes an entry may have more than one URL associated with it; to see any additional links, as well as more information about access restrictions or dates of coverage, you must view the Full Record.

In the Search Results/Brief Records display, you also have the option to select individual records and Save/Email them, Add to List (a collection of records that persists only for the duration of your user session) or Create Subset (similar to a list, but you can have multiple subsets and can combine them in different ways in the Past Searches utility).

NOTE: The Search function will retrieve a maximum of 1000 records per set. The system will give the total number of records found, but will only display the first 1,000. If your search request finds more than 1000 records, you may Refine it (by adding more terms to the search with the AND, OR and NOT operators) or you may Filter it in different ways. Helpful methods of filtering records include showing only those that are not checked out, or limiting them to a particular range of years.
