Reserving a Resource for Checkout
Detailed Instructions

  With Outlook open, either:  

  1. Click the small arrow beside the "New" button at the upper right. Select "Meeting Request"

  2. Fill in the date and time the resource is needed.

  3. Click the "To..." button, then type: res to get a list of the resources (including laptops) available for checkout.  Be sure to check the details about any resource to verify that it has the capabilities you require. Do this by double clicking it, then selecting "Phone/Notes" tab.

  4. Select the resource, then click the "Resources -->" button.

  5. Change "Show Time as" to "Free."

  6. If desired, click "Attendee Availability" to see when the resource is free.

  7. Type YOUR NAME in the "Subject" line

  8. Click the "Send" button. You will receive notification later via email that the resource has been reserved (ie, the resource has "accepted" the meeting). For best results, reserve the resource at least one day in advance.

Or:

  1. Click on the Calendar button to display your Calendar.

  2. On the "Actions" menu, click "Plan a Meeting".

  3. Click "Invite Others."

  4. Click "Select from a List," then type res to see a list of resources.

  5. Select the one you want and click "Resources". (Be sure to check if it has the capabilities you require by double clicking it and selecting the "Phone/Notes" tab.)

  6. Click OK, then use scroll bars to view the free/busy time for the laptop

  7. Click "Invite Others" button.

  8. Type YOUR NAME in the "Subject" line.

  9. Click "Send". You will receive notification later via email that the resource has been reserved (ie, the resource has "accepted" the meeting). For best results, reserve the resource at least one day in advance.
