Binding Unit Goals 2003-2004


GOALS:
  1. Investigate the possibility of switching from LARS to ABLE or LINCPlus binding software in order to more efficiently produce binding tickets in conjunction with the new LMS.
  2. Completely revise Thesis and Dissertations Binding Manual.
  3. Revise Monograph, Pamphlet, Serial and Periodical Manuals.
  4. Reduce number of jobs on LARS main Jobs screen by archiving jobs over 12 months old.
  5. Explore the option of periodical cover retention instead of cover removal for binding purposes. Go to Southeast Library Bindery to evaluate.
  6. Binding RFP.
     

Investigate the possibility of switching from LARS to ABLE or LINCPlus binding software in order to more efficiently produce binding tickets in conjunction with the new LMS.

Objectives:
  • Install both programs in Preservation for selected personnel to test.
  • Test for approximately six months in house, then extend the test to selected branches.
  • Speak with universities using Aleph in conjunction with ABLE and LINCPlus. Ask their views on the products, the link between Binding software and LMS, etc.
  • Determine most efficient timing of switch to ABLE or LINCPlus: before or after the Library switches to Aleph.
  • Speak with vendors (ABLE, LINCPlus, and Aleph) regarding details of implementation. 
  • Ask Southeast Library Bindery / ICI if any of their customers currently use ABLE or LINCPlus in conjunction with Aleph.
Progress:
August 2003: Met with Barb Voyer from ICI. Barb installed ABLE and LINCPlus on  the Preservation Department Head's computer and Binding Unit Head's computer. 
November 2003: After testing the two programs for several shipments, the Binding Unit head and Preservation Department head have focused our attention on ABLE.
December 2003: Testing with ABLE continues. 
January 2004: No ABLE test jobs this month, however it looks very likely that ABLE will be the new binding software as soon as logistically possible after the LMS Transition. In consultation with the Preservation Department Chair the Binding Unit head will begin to discuss which Branch Binding Staff member will be designated to test ABLE outside the department. 
March 2004: Testing continues, and a second account was set up to better test how the program works, from start to FTP. Able jobs were sent to Southeast in each of the last four binding shipments.

Completely revise Thesis and Dissertations Binding Manual.

Objectives:
  • Integrate ETD procedures.
  • Make procedures less LMS specific
Progress:
November 2003: Preservation Department head created a checklist to streamline Thesis & Dissertation processing. 
January 2004: While processing December 2003 Thesis & Dissertations, Binding Unit Head will go through binding manual to determine where changes should be made, and begin making changes.
March 2004: The Checklist worked well, and the December 2003 class has been processed. The Checklist will be altered slightly to reflect steps we missed when the list was created.

Revise Monograph, Pamphlet, Serial and Periodical Manuals.

  • Revisions will be written in conjunction with Binding staff in Preservation and the Branches, 
  • Strive for consistency across the branches re: these procedures.
  • Render manuals less LMS specific.

Objectives:
  • Continue working with software technicians at ICI to archive past LARS jobs.
  • LARS jobs will be separated by year.
  • Once we master the process, the department will archive one year each month to bring us up to date.
  • Meet with ICI technician in August 2003.
Progress:
December 2003: This goal has been shelved. The Binding Unit will switch to a new Binding software soon after the Libraries converts to the new LMS.

Explore the option of periodical cover retention instead of cover removal for binding purposes. Go to Southeast Library Bindery to evaluate.

Objectives:
  • Survey other libraries binding through Southeast.
  • Research the literature on the subject.
  • Consider the impact of the new glue being used today.
  • This project will be conducted with the assistance of John Freund, Conservation Unit Head.
Progress:
December 2003: Over the course of the first 4 months of the fiscal year, the Binding Unit has sent test shipments of periodicals to Southeast Library Bindery. When returned from the bindery, these items have been examined by the Binding Unit Head and Conservation Unit head for quality control. No trip to the bindery has been planned.
January 2004: Testing continues. The proposed trip to the bindery has been shelved due to the multitude of changes going on library wide over the next year.

Initiate the Binding RFP Process.

Progress:
January 2004: The Binding Unit Head has been reading the previous RFP as well as the various Southeast Library Bindery Customer Profiles to determine what we will need to update for the next RFP, which we plan to initiate later this year. Customer Profiles will also be sent to Branch Binding Staff for their input. 
February 2004: Due to the impending switch to PeopleSoft, the Binding Unit has been granted an extension of out Binding contract with Southeast Library Binding. The RFP has been shelved for the immediate future.
