CONSER Update - Naomi Young
Naomi Young as guest speaker
CONSER changes—CONSER records are changing a little bit starting in June.
Test phase will be first-Naomi showed a Power Point presentation about the coming changes. Catalogers will need to know most of the details of the changes, more so than all other staff. Most of the changes are minor and should not affect workflows for non-Cataloging staff.
See the presentation for the details of the coming changes. The presentation will soon be available on Naomi’s Serials Cataloger web page. http://www.uflib.ufl.edu/catmet/sercat/index.html
The changes do work in the Aleph 18 Test client. June 1 will be the start date in OCLC. UF Libraries will start using the new rules for cataloging starting 6/4/2007.
Old data currently in the catalog will not be changed to comply with the new standards. Old records will only change if needed. Example: if a ceased date and issue information needs to be added to the record.
Note on Title changes: Surrogates, rather than the relevant periodical issue, are still ok to submit for title changes. Please send all title change information to Raimonda.
ALEPH 18 - Robert Parker
Aleph 18 and Endeca-- Bobby demonstrated an example screen of how items show in Endeca in contrast to the current OPAC view.
One thing to note as different is that the Missing Item notes in the item records on the Web OPAC Note field do not show to the public in Endeca. We need to find some other way to show this information.
The Aleph 18 Test client should now be installed on all staff workstations for practice and workflow testing. Training has started in the Aleph 18 Circulation module. Aleph 18 Cataloging classes are starting at the end of June.
Bobby is working on a work flow for binding in Aleph version 18. Training will be scheduled when that is finished.
Jason Fleming is working on ACQ module training for version 18.
Emily asks if more detailed acquisitions information will be available than is currently available in Aleph 15.5? Answer is if the permissions are set to the correct level of access for viewing the desired information. Margeaux Johnson notes that we do not really know what permissions we will need until we see what is different about Aleph 18 in the training sessions. Raimonda suggests Margeaux and Emily meet with her to see what information is needed so the permissions can be set correctly.
Material Type Update - Raimonda Margjoni
Material type has been an ongoing issue for several months.
Final decision-
BOOK=monographs, single print items, CDs, DVDs, and other physical items that are not periodicals or annuals.
ISSUE=loose issues of periodicals only.
ISSBD=bound periodicals, and already bound annuals
Acquisitions & Licensing Dept. Reorganization Update – Raimonda Margjoni
Dept. reorganization update: it is now official—the units are the E-resources Unit, Print Serials Unit, Monographs Unit, Paying Unit, Database Maintenance, and Technical Services. Any questions about print serials should be forwarded to Raimonda Margjoni.
Serial and Monograph Adds – Raimonda Margjoni
Angie Stewart does the Serials Adds. Sometimes monograph adds are ending up in serials. Monograph adds need to go Copy Cataloging, Doug Smith. Serial adds can also be sent to Raimonda. Staff members in other locations could also address the items to the unit rather than a person.
Other items of interest?
Emily Madden asks if there is any final word on the fate of NOTIS? When will it become unavailable for even viewing use? The answer is we really do not know at this time. Naomi Young says there is to be a meeting of the state university library directors at the end of May that might address this issue. However, it is expensive to maintain the NOTIS files, approximately $250,000 per year, so it may not be possible to keep it going much longer.
Binding – Robert Parker
Binding portion of meeting, (Non-binding staff left the meeting) :
There are 3 more shipments left in the fiscal year. There is $25,000 still available in the budget. All units need to do as much binding as possible to use up the money, in a timely manner.
Emily Madden asks if someone could help with binding JUDAICA materials.
Maybe someone in Binding can assist if she sends over the non-Hebrew materials.
Also, what about LARS accounts for student assistants? Please update Bobby on which students are current or if you need to have a student assistant for the rest of the Summer A term. There is student assistant money available from Binding. Nathan Davies will see if we need one in Education.
Please send some condition-based monographs in need of binding directly to Anita L. in the Binding Unit.
Cathy Martyniak will be back part-time
Next meeting: July (maybe) since this is when Aleph is coming out. Maybe June 21 or 28 instead. Bobby Parker will let us know.
Please remember to communicate the outcomes of this Discussion with other people in your unit!
NEXT PMMC will be July 19th, 2007 from 10am to 11:30 am in the Library East Conference Room. Doors open at 9:30.
