Graduate Students Out for a Semester Procedures
In accordance to George A Smathers policy, the following procedure should be followed for graduate students in a non-enrolled semester immediately following an enrolled semester.
• Change the patron status and patron type from
10 (Graduate) to 15 (Grad Dissertation) as shown in the figure below.

• Change the Expiration Date to the end of the non-enrolled semester. (Make sure to UPDATE)
• In the global notes field, add a patron note informing which semester this privilege was given. As with all circulation notes, be sure to include the date and your initials. For example - '15 status granted for Summer '07. 05/07/07 - nd'
• Check the expiry date box.
• Select
Global Information - Additional IDs. Ensure that all ID numbers are set
to AC - Active.
• Run 14 digit barcode through ID Checker

At the end of the semester...
• Circulation Technology Coordinator will run a Patron List report (cir-05) for patron status 'Grad Dissertation'. This report is found under Services – Reports – Patron List.

• Search
for each patron on the report to see if they are registered for classes
for the semester folowing their non-enrolled semester.
• Remove the check from the expiry date box but leave the global note.
This is to ensure that they are not granted 15 status again in the future.
