New CD-ROMs and CD-ROM adds
For Library West, Library West Reference,
and Marston Science Library
Add an 035 to the bibliographic record to indicate the number of CDs added to the collection. We will use this field to track security case usage by material type, so it is important to add this information (and update it as needed).
The material types are m (monograph), s (serial) and p (periodical). Construct the note this way: 035::(FU)cdx-n
where x is the material type, and n is the number of CDs added to the collection.
Examples:
035::(UF) cds-3 (This title includes three serial CDs)
035::(UF) cdp-8 (This title includes eight periodical CDs)
Place CD in jewel case if it isn't already in one. If CD is in a pocket in the text, carefully remove it and place it in a jewel case. If it is difficult to remove the CD from the pocket, ask Preservation for assistance in removing it. Single and double jewel cases are available in the Processing area. Do not use the "slim" type of CD jewel case. This type of jewel case does not fit properly into the security cases.
Place barcode on back of jewel case, upper right hand corner.
***Be careful not to cover important information when affixing barcode***
If CD accompanies a printed serial, create separate item records for the text and
the jewel case, and use the following numbering scheme for the call
number. In the Enum/Chron area of the item record, after the normal
designation, input pt. <>-of-<> for each piece. Note the
hyphens around the word "of." Separate the year from the
part information with semicolons. Use the midspine to identify which piece the
idem identifies. The text(s) should precede the CD(s).
Example:
Book with 2 CDs
Enum/Chron: [print] 2003;pt. 1-of-3
Midspine: Book
Enum/Chron: [CD #1] 2003;pt. 2-of-3
Midspine: CD 1
Enum/Chron:[CD #2] 2003;pt. 3-of-3
Midspine: CD 2
If the print item needs to be sent to Binding per What to Put on Binding Shelf for LW and LW Reference, place the text on the Binding Shelf and include a purple slip with a note to indicate its enumeration. For example, if the item is a book with 2 CDs, write pt. 1 of 3 on the purple slip. The CD does not need to accompany the text to Binding. Put the CD on the appropriate Processing location shelf.
For stand-alone CDs, we will no longer use main,rres as a default location for Reference or Main items. Create item records and summary holdings as before. (You can review the holdings standards here.)
Example:
899::CD-ROM: 2000/2001-2002/2003
If we have holdings in both the print and CD formats, put each on a separate holding line, and qualify the CD holdings
Example:
899::1999-2000
899::CD-ROM: 2001-2003
If the CD accompanies a periodical issue, see the directions here.
***Be careful not to cover important information when affixing labels***
For all other locations
Place CD in jewel case, if it isn't already in one. (If CD is in pocket in text, remove it and place in jewel case.) Jewel cases are available in the Processing area.
Follow procedure for "other formats" per Barcode Placement.
If CD accompanies text, send to Binding per What to Put on Binding Shelf for branches and LW Reference Reserve.
For stand-alone CDs, we will no longer create a separate location such as sci,cd. (These locations will no longer exist after migration.) Create item records and summary holdings as before. (You can review the holdings standards here.) If we have holdings in both the print and CD formats, put each on a separate holding line, and qualify the CD holdings.
Example:
899::1999-2000
899::CD-ROM: 2001-2003
***Be careful not to cover important
information when affixing labels***
