Duplicate Serial Issues

When an item comes in, first look it up in ALEPH (see procedures at Serial Issues Arrival). If all copies of this particular issue (as indicated by HOL locations) have been arrived previously, then this copy should be treated as a duplicate copy.

  1. Duplicate an arrived item that correctly describes the piece in hand.
  2. Place the characters DN: in front of the existing data in the Description field:
    ex. a description that read v.35:no.3(2007:Jan.) should now read DN:v.35:no.3(2007:Jan.)
  3. Change the Item Process Status to SP
  4. If a 3 is present in the 85X Type/Linking Field, remove it.
  5. Update Item in ALEPH.
  6. Place a blank call number label.
  7. Forward duplicate issues to Preservation Department.
